Job Description

DLA Piper, a leader in the practice of law worldwide, seeks a part-time, Project Team Assistant, in the Mt. Washington office. Works with a team of support specialist to provide effective and streamlined services to attorneys of the firm. Provides administrative support to project teams under the coordination of the Team Coordinator, Legal Secretaries, and Project Team Specialists.

 

Duties include:

 

-Processes administrative tasks for all practice groups of the office, including expense reports, check requests, closing binders, scanning, time entry, travel arrangements, e-Room entry and document organization.

-Files documents using electronic and paper systems. Creates new case files and folders using the records database and document management system. Creates and maintains pleading indices and closing binders, and prepares and codes paper files with identifying information for delegation to the Records Department. Assists with processing of closed files.

-Provides administrative support including printing, scanning, duplicating, facsimile transmission, preparing mail, overnight packages and hand deliveries.

-Assists with research for projects, pulling documents for closing books and assembling litigation pleadings and related IP/Trademark tasks.

-Ability to move from team to team upon requests to assist with projects/special requests as needed.

-Prepares and organizes documents for transactions.

-Attends closing with attorneys to manage documents and obtain all necessary signatures.

-Prepares closing books.

-Assembles, reviews and analyzes documents.

-Reviews and downloads court dockets and bankruptcy filings

-Prepares fee applications, proofs of claim, petitions, schedules and statements.

-Takes work assignments from Team Coordinator and directly from Legal Secretaries and works collaboratively with Project Team Specialists and manager on other duties as assigned.

-Assists Legal Secretaries and Project Team Specialists with preparing, editing and proofreading a variety of documents, e.g., correspondence, agreements, pleadings, spreadsheets and presentations. May required use of transcription/dictation equipment.

-Performs a variety of tasks utilizing the firm's technology. Conducts document searches, uploads documents from various sources to firm e-Rooms/web rooms, e.g., links, PDFs, etc., using consistent naming protocols. Prints files and documents as requested.

- Assists other teams with projects and special requests, prioritizing to meet deadlines.

Qualifications

 This position requires:

 

-High school diploma required.

-Up to one year experience performing basic office and clerical type duties in a law firm or professional services organization.

-Basic knowledge of Microsoft office.

-Good communication and interpersonal skills required to interact with staff and attorneys on a regular basis.

-Must be organized and have strong attention-to-detail.

-Ability to work effectively in a fast-paced environment and have the ability to learn quickly.
