Job Description

ESSENTIAL JOB FUNCTIONS:  
Key Outputs    Measurements / Performance Indicators
Payroll
•    Process and administer payroll system reporting and processing of payroll for 100+ employees
•    Manage Time and Attendance system and timecards for additional temporary staff
•    Monitor time & attendance of all employees; provide periodic time & attendance reports to leaders; notify HR Manager for any time & attendance issues.
•    Reconcile and audit various payroll-related activities, investigate variances, and recommend corrective actions
•    Manage year-end tax filing and process for all payroll adjustments
•    Compiles statistical and payroll data from a variety of sources to create reports for both internal and external purposes
•    Researches discrepancies of payroll information and/or documentation (e.g. time sheets, leave time, salary

•    Researches discrepancies of payroll information and/or documentation (e.g. time sheets, leave time, salary, supplements, etc.) for the purpose of ensuring accuracy and adherence to procedures prior to processing
•    Responsible to respond to UI, garnishment and employment verifications & etc. in a timely manner    
•    Payroll processing must be on time with zero mistakes each period.
•    Reports must be made timely and accurately
•    Audit trail must be in place and transparency in all transactions is required. 
•    Make automate and independent judgment and decisions for any payroll issues

Benefits
•    Coordinate Benefit processing 
•    Maintain group benefits data and prepare regular benefits reports
•    Reconcile and audit benefits insurance invoices monthly
•    Assist auditors for the purpose of providing supporting documentation and /or information on internal process that is required for audit
•    Work with 401(k) and annual census
•    Research and respond to inquiries relating to payroll issues. Take appropriate action to identify and resolve problems. Works closely with Human Resources Management team.
•    Monitor and maintain controls for the flexible benefits program and tax-sheltered annuities    
•    Accurate insurance billing and timely employee enrollment data transmission
•    Efficient audits that require no additional resources and excellence in audit results
•    Resolve benefits problems independently with vendors in a timely manner.


HRIS
•    Support improvement of  payroll system; or data transfer or implement process if new HRIS is implemented
•    Maintain HRIS System and run periodic reports to ensure data accuracy; resolve any discrepancies with HR team
•    Resolve HRIS system issues, updates, changes, and system integrity
•    Work closely with technical departments to implement process improvements, test system changes, and lead and/or collaborate on special projects    
•    Timely and accurate updates to the HRIS to ensure that the system is a strong support tool for the HR and executive management team.
•    Timely provide accurate reports as needed


ADDITIONAL RESPONSIBILITIES
•    Responsible for maintaining absolute confidentiality relative to employee personal data and matters
•    Provides information as requested to employees, supervisors, internal and external auditors or other personnel by referring to policies, rules, regulations or procedures or by researching files for information
•    Other duties or projects as assigned by the HR Manager
    


 

Qualifications

EDUCATION & EXPERIENCE

  • Bachelor’s degree in business administration or related discipline from an accredited college required
  • Certified Payroll Professional (CPP) recommended but not required
  • 1-2 years of experience as a Payroll & Benefits Analyst or related profession for a mid-size multi-state company
  • Experience using HRIS platforms such as Dayforce, ADP, Kronos, etc.

•    Good knowledge of payroll procedures and administration. Well versed with standard payroll concepts, practices and procedures
•    Familiar with applicable Federal, State and Local laws and regulations related to payroll function including, but not limited to, FLSA, ACA
•    Computer proficiency and technical aptitude with the ability to utilize MS Word and Excel and various payroll and time keeping systems
•    Familiarity with HRIS systems and able to run ad hoc reports are required
•    Must be detail-oriented and organized, able to prioritize tasks
•    Must be able to work discreetly and maintain confidential information
•    Must be a fast learner and able to work in a fast paced work environment
•    Strong analytical skills with the ability to understand, evaluate and make judgment on the related matters
•    Exceptional problem solving skills and customer service skills
•    Confident, independent action, initiative, and sense of urgency
•    Strong sense of ownership; ability to make independent decisions and take responsibility of them
