Position Overview
Crown seeks an Administrative Assistant to become part of a team at our Ontario, California office. The successful candidate will perform a variety of administrative duties including answering phones, arranging travel and processing travel expense vouchers, transmitting and receiving messages via email, maintaining electronic calendars, coordinating meetings, escorting visitors, maintaining supplies, and typing memoranda.
Key Responsibilities
Administrative Assistant
- Processes company travel vouchers
- Ensures all receipts are legible and valid expenses
- Ensures that all charges submitted are in compliance with the contract requirements
- Ensures that the client is billed in a timely manner
- Assists with invoices that are sent to the client monthly
- Acts as the liaison between the travel crews and the complexities of the voucher system
- Enforces policy on travel/per-diem, and provides a constant monitoring/auditing of the process for every submission
- Coordinates with the many various companies for materials/lodging/travel and attains the appropriate receipts/invoices in the proper format
- Compiles numerous ad-hoc projects including various statistical reports such as weekly site reports
Qualifications
- Associate’s Degree or equivalent combination of education and experience
- Minimum of 2+ years of administrative support experience
- Proficiency in Microsoft Office Suite, including advanced Excel skills
- Strong organizational and multitasking abilities
- Excellent written and verbal communication skills
- Ability to work independently and collaboratively in a team environment
- Strong attention to detail and problem-solving skills
- Ability to prioritize tasks and manage competing deadlines
Preferred Qualifications:
- Experience supporting government contracts or federal programs
- Familiarity with travel expense processing and invoice management
- Experience with reporting and data tracking tools
- Knowledge of federal compliance requirements is highly desirable
Schedule & Travel
Typical schedule is Monday through Thursday, 6:00 AM to 4:30 PM.
Must be able to work non-standard hours depending on site requirements.
This is a 100% Onsite position.
Compensation
Hourly Rate Range: $20.00 to $29.47 per hour (W2)
Compensation is determined based on experience, qualifications, geographic location, and internal equity considerations.
Crown complies with all applicable state and local pay transparency laws. The listed compensation range represents the good faith salary range for this position at the time of posting. Actual compensation will be based on experience, qualifications, geographic considerations, and business needs.
