Job Summary

 The Executive Assistant provides administrative support for the President & CEO and CMI team members as needed. This role serves as a primary point of contact for internal and external constituencies. The Executive Assistant will work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

Job Responsibilities

  • Proactively maintain calendars, contacts and tasks using Microsoft Office including scheduling and coordination of meetings and events, including tracking attendance, registering guests, and ordering catering.
  • Arrange complex and ever-changing domestic and international travel arrangements, which include flights, visas, accommodations, and dining, while being available to troubleshoot any issues that may arise, including after hours.
  • Handle general administrative duties such as correspondence preparation, file organization, data entry, maintaining contact lists and process documents, including preparing pre-meeting materials.
  • Research and address incoming issues and concerns determining the necessary course of action sensitive or confidential matters.
  • Facilitate effective communication between the President's office and internal departments, maintaining trust and support with senior management staff.
  • Assist the CEO to keeping track of commitments and responsibilities, acting as a liaison and providing updates on relevant organizational matters.
  • Prioritizes and efficiently manage conflicting needs, ensuring project completion under deadline pressures.
  • Works with CMI and leadership team to develop and manage client contact lists, prospective client target lists, and dates of contact and follow-up for new or expanded proposals.
  • Supports overall CMI team as needed on critical client projects, events, deliverables, etc. that require help in coordination or delivery – administrative or substantive – to ensure CMI delivers on client needs and exceeds expectations.

Qualifications

Knowledge, Skills and Abilities

  • Ability to adapt to changing priorities and maintain a productive and committed work effort, meeting deadlines and managing workload.  Must possess an aptitude to coordinate a variety of initiatives.
  • Advanced knowledge of MS Office (i.e., Word, Excel, PowerPoint) to produce quality written communications such as memos, spreadsheets, presentations, and standard work documents.  Familiarity with InterAction or similar CRM highly desirable.
  • Must possess the interpersonal skills necessary to handle sensitive and confidential situations. Requires demonstrated poise, tact and diplomacy.
  • Ability to provide quality client service to both internal and external clients in a fast-paced global environment, regarding non-legal matters of a complex nature.
  • Demonstrated ability to organize and prioritize work in a dynamic and complex environment to meet deadlines and daily requirements.
  • Demonstrated ability to communicate clearly and effectively, both orally and in writing with attorneys, staff and external contacts.
  • Exhibit strong organizational skills, attention to detail, and the ability to work in a fast-paced environment, demonstrating professionalism and a willingness to work beyond standard hours as needed.

 

Education

A Bachelor’s Degree, with an emphasis on International Relations or a related field, is preferred. Equivalent training and experience may substitute for education.

Experience

The position requires a minimum of seven (7) years of increasingly responsible, directly related experience including some experience supporting high-level executives. Interest in international matters or experience supporting an organization that work internationally is preferred.
