Job Summary
The Conflicts Administrative Assistant supports the firm’s risk management need and the firm’s new business function by providing administrative support including processing and managing client communications associated with retention letters, matter scope confirmations, closure notifications, and outside counsel guidelines. This position also maintains firm’s databases regarding such client communications.
Job Responsibilities
- Processes and manages client administrative correspondence including engagement letters, engagement agreements, matter scope confirmations, and closure notifications.
- Coordinates client administrative communications for conflicts attorneys and firm attorneys related to engagement letters, outside counsel guidelines, matter scope confirmations and closure notifications to ensure approved communications are sent and appropriately filed.
- Maintains firm databases and intranet content with respect to engagement letters and outside counsel guidelines.
- Monitors mailboxes associated with closure, retention and scope communications and routes questions to Conflicts Department management as needed.
- Serves as primary interface with attorneys and administrative assistants regarding the processes generally, and assists with specific questions/issues as needed.
- Assists Conflicts Department management with client communications reports, including related to engagement letters and closure communications.
- Assists department management with other special projects related to client administrative communications and to maintenance of database.
- Collaborates with secretaries and attorneys, and other departments, including Pricing, on issues related to matter opening.
- Supports the overall Conflicts Department team as needed on projects and assignments which require administrative support. Performs other duties as assigned.

- Demonstrated ability to master new technology applications.
- Basic skill in operating standard office equipment, including desktop computers, facsimile machines, copiers, telephones.
- Knowledge of Microsoft programs including Outlook, Word, and Excel.
- Knowledge of iManage, Elite 3E, and Intapp Open are a plus.
Education
The position requires an Associate Degree or equivalent training and experience regarding the position requirements may substitute for education.
Experience
No experience necessary. Training will be provided on the job.
Directly related experience in legal communications, database maintenance and report preparation, as well as working in a law firm environment a plus.
