Job Summary

The Pricing and Legal Project Management Coordinator is a member of the Pricing and Legal Project Management (LPM) team and supports the Pricing Manager and the Legal Project Management Manager. This role will split time evenly between Pricing and LPM functions, and will be responsible for setting up matters through the firm’s new matter intake process and the creation and maintenance of matter reports. The Coordinator will proactively flag potential risks and opportunities for the LPM team and firm attorneys to improve financial performance and remain within client agreed budgets and expectations.

Job Responsibilities

  • Creates new matters in firm’s financial system (3E) with all client and matter level information and applicable billing rules.
  • Enforces compliance with policies, procedures, and processes for new matter set-up.
  • Reviews client and matter level arrangements for potential billing conflicts.
  • Determines and sets up ABA/LEDES codes applicable for each new matter.
  • Identifies any necessary additional information needed from client (e.g. background checks, IS security reports, etc.).
  • Supports the effort to continually improve the process for new matter set-up in 3E.
  • Designs and reviews recurring reports, alerts, and notifications to be sent to firm attorneys, using the firm’s existing proprietary LPM software and Excel.
  • Analyzes reports, alerts, and notifications to identify matter metrics, document trends, and monitor performance against budgets.
  • Identifies new matters that require LPM services in the matter intake process and appropriately set up the matter for reporting.
  • Provides reports on matter status to the Legal Project Management Manager and legal team.
  • Prepares and maintains status updates for matter and client level engagements in internal firm databases and Excel spreadsheets.
  • Learns the nuances behind more complex alternative fee arrangements to build bespoke reports that track against the budget accordingly.
  • Liaise with the firm’s billing and accounting team when needed to maintain the correct billing instructions and task/phase code setup for any given matter.

Continuously identifies improvements that can be made to LPM processes and support efforts to expand and refine LPM at the firm.

  • Strong attention to detail, organizational skills and the ability to handle multiple projects.
  • Technological aptitude and ability to learn new technology tools.
  • Strong basic math skills.
  • Ability to communicate clearly and effectively, both orally and in writing with co-workers.
  • Ability to organize and prioritize work in a dynamic and complex environment to meet deadlines and daily requirements.
  • Ability to apply technical knowledge or guidance, analyze and interpret data from several sources, and solve problems by applying precedent or extrapolating from previous experience.
  • Ability to provide basic client service requiring ordinary tact and courtesy.
  • Intermediate knowledge of Microsoft Excel required. Experience with large data sets, pivot tables, conditional formulas, and VLOOKUPs preferred.
  • Ability to anticipate work needs and follow through on own initiative.
  • Knowledge of the financial system Elite 3E preferred.
  • Demonstrated ability to organize and prioritize work in a dynamic and complex environment to meet deadlines and daily requirements.
  • Ability to select and apply clearly defined standard policies and/or procedures and solve problems by choosing between clear choices or discussing with supervisor.

Education

The position requires a Bachelor’s Degree, preferably in a related field.

Experience

The position requires a minimum of one (1) year of work or educational experience during which the knowledge, skills, and abilities relevant to the position were obtained.

Our Firm is committed to fair and equitable compensation practice in accordance with applicable laws. The salary range for this position is $52,600 - $76,100. Additional compensation may include a discretionary bonus. Other benefits include healthcare, vision, dental, retirement, and all-purpose leave. The salary for this position may vary based on location, market data, an applicant’s skills and prior experience, certain degrees and certifications, and other factors.
