Job Description

Job Summary

The Claims Recovery Administrative Assistant works under moderate supervision to provide administrative support to attorneys and paralegals on the Claims Recovery team.

Job Responsibilities

  • Draft retention letters, status emails and other routine correspondence; enter and maintain associated data in internal databases.
  • Organize, prepare and manage the Claims Recovery team’s client quarterly reports.
  • Maintain contact information and other related data in Interaction and MCL Management.
  • Prepare new matter documents to open new matters.
  • Prepare weekly trackers and abbreviated trackers.
  • Track the status of all matters and prepare client authorizations.
  • Track business development efforts including new client pitches and cross-selling opportunities and maintain status in team’s database.
  • Track engagements and maintain status in group’s database.
  • Assist Claims Recovery Bookkeeper with preparing and tracking communications to/from clients and wire confirmations; update and maintain relevant databases.
  • Conduct research of publicly available information (company websites, financial statements and other web-based sources) and compile, summarize and report findings.
  • Process incoming/outgoing mail correspondence as needed and prepare any relevant materials.
  • Coordinate conferences, meetings, appointments and prepare necessary meeting materials. Track invites and RSVP’s to department meetings and events.
  • Coordinate travel arrangements by securing air, hotel and car reservations.
  • Create and maintain filing system to ensure accuracy and efficient retrieval of data.
  • Participate as needed in special department projects.
  • Coordinate with administrative team members to balance workload and ensure work is completed timely and accurately. 

Qualifications

Knowledge, Skills and Abilities

  • Ability to maintain strict confidentiality regarding office data.
  • Demonstrated ability to communicate clearly and effectively, both orally and in writing with internal and external contacts.
  • Demonstrated working knowledge of Windows and MS suite of products such as Word, Excel and PowerPoint.
  • Must possess a thorough command of the English language including excellent spelling, grammar and punctuation. 
  • Demonstrats ability to work effectively both independently and with others in a cooperative, enthusiastic, innovative, and friendly manner to accomplish position fucntions and participate in team efforts. 
  • Demonstrated ability to adapt to changing priorities, to maintain a productive and committed work effort, and to deal with difficult situations and/or individuals, meeting deadlines and managing workload. 
  • Ability to accurately type 50+ words per minute.
  • Ability to safely lift, move and carry items without assistance, weighing up to 20 lbs.
  • Ability to work overtime hours as requested.

Education

The position requires a Bachelor’s Degree.  Equivalent training and experience may substitute for education.

Experience

The position requires a minimum two (2) to three (3)  years of corporate and/or administrative experience during which knowledge, skills and abilities applicable to the position were demonstrated. Additional education may be considered in lieu of some work experience.

Our Firm is committed to fair and equitable compensation practice in accordance with applicable laws. The salary range for this position is $40,700-$56,300. Additional compensation may include a discretionary bonus. Other benefits include healthcare, vision, dental, retirement, and all-purpose leave. The salary for this position may vary based on location, market data, an applicant’s skills and prior experience, certain degrees and certifications, and other factors.
