Job Summary

The Temporary Operations Clerk performs operational duties under general supervision of the Office Administrator and with reliance upon established procedures and policies.   The Temporary Operations Clerk should be client-service oriented, proficient with computer systems, detail orientated and able to multi task.

Our Firm is committed to fair and equitable compensation practice in accordance with applicable laws. The hourly pay rate for this position is $18.82 per hour to $26.00 per hour. Additional compensation may include a discretionary bonus. Other benefits include healthcare, vision, dental, retirement, and all-purpose leave. The salary for this position may vary based on location, market data, an applicant’s skills and prior experience, certain degrees and certifications, and other factors.

Job Responsibilities

  • Performs tasks in areas of general administrative services as assigned which may include any of the following areas: duplicating, scanning, printing pdf’s, mail distribution, facsimile, records, facilities, purchasing, catering, and other general office services.
  • Assists customers on various projects and assignments.
  • Prioritizes requests based on customer needs, job requirements, etc. and ensures product value by monitoring job progress for timeliness, accuracy and delivery to client.
  • Reviews requests with customers and others; makes suggestions regarding service options; performs quality control checks for all finished work to ensure that customer requirements are being met.
  • Logs service requests and monitors progress to ensure adequate and timely completion and follow-up.  Maintains an equipment repair log.
  • Reconciles invoices as requested.
  • Reviews inventory levels as appropriate and orders office and kitchen supplies as needed.
  • Maintains responsibility for the overall appearance of assigned office areas which should be kept functional and clean at all times.
  • Assists other employees in completing their tasks as appropriate or assigned.
  • Protects firm assets by following prescribed guidelines and efficiently using firm resources.
  • Identifies and communicates with the Office Administrator/ Assistant Office Administrator ways and means to reduce costs of operations while increasing service, timeliness and quality.
  • Actively responds to customers’ questions or concerns, referring difficult issues to immediate supervisor/manager.
  • Establishes and maintains good working relations with clients, co-workers, and administrative personnel.
  • Performs other duties as assigned including backup to Hospitality and Receptionist.
  • Updates floor plans and phone directories as needed. 
  • Keeps visitor offices supplied with appropriate supplies using Crowell checklist.
  • Sets up meetings and luncheons as they are scheduled, working with the Operations Coordinator and Assistant Manager.  May be required to pick up meals for delivery to the office or coordinate with restaurant vendors and building security for catering purposes.
  • Maintains beverage and pantry item inventory to allow for ad hoc meetings. 

 

Qualifications

Knowledge, Skills and Abilities

  • Demonstrate basic to advanced computer skills using digital hardware and software.
  • Demonstrate basic to intermediate knowledge of Outlook, MS suite of products such as Word, Excel, and PowerPoint.
  • Demonstrated ability to operate standard office equipment.
  • Demonstrated ability to work with minimal supervision, follow detailed instructions, handle multiple tasks simultaneously, maintain accurate and detailed records, and interact and communicate well with clients.
  • Demonstrated ability to communicate effectively, (written and verbally) with peers, management, contractors and vendors.
  • Demonsrated ability to organize, coordinate and provide timely support services while conducting oneself in a businesslike, professional manner at all times.
  • Demonstrate the ability to evaluate situations and exercise the judgment necessary to rectify problems or escalate them to the appropriate supervisor in a timely manner. 
  • Demonstrate the ability to diagnose equipment problems and to operate moving-part machinery in a manner that follows all safety procedures.
  • Ability to work overtime including weekends, when needed.
  • Ability to lift and carry items weighing less than 50 pounds.

Education

The position requires a High School Diploma or GED.

Experience

The position requires a minimum of one (1) year of directly related experience during which knowledge, skills and abilities relevant to the position were demonstrated.
