Job Summary:
The Billing Specialist assists with the client billing process.  The position works collaboratively with attorneys, secretaries, and staff to prepare and review client invoices, utilizing billing software to complete the billing process. The Billing Specialist works in conjunction with the Billing Manager, Assistant Billing Manager, Billing Coordinators and the eBilling team to promote efficiency within the Department.

Job Responsibilities:
•    Prepares client invoices as instructed by the billing attorney. Edits cost, time and narratives. Creates draft and final bills. 
•    Identifies inconsistencies or errors on bill requests and contacts the respective billing attorney to resolve any problems.  Audits/reviews final bills verifying accuracy and ensuring compliance with client agreement, guidelines, and firm policy.
•    Ensures final bills have been submitted to the client (ebilled, mailed, emailed) and are posted in the accounting system.
•    Follows up on electronic billing submissions up to 24 hours post-submission; assesses and resolves rejected electronic billing invoices; researches client adjustments/short payments in conjunction with Collections Department.  Provide proactive communication re: significant eBill issues or delays to billing attorney.
•    Assists in meeting billing budget by maintaining the status of assigned billing attorneys. Performs regular and consistent follow up with assigned billing attorneys to ensure bills are received in Accounting and processed in accordance with monthly billing deadlines.
•    Monitors trust balances for assigned clients and reviews with billing attorney to determine if funds should be applied to current invoice.  Assists in resolving unapplied cash. 
•    Responds to billing inquiries and requests; prepares and submits budgets and accruals to clients.
•    Assist with preparation of back-up documentation for the Billing Department, as requested.
•    Review new timekeeper reports to submit and prepare for billing on matters of responsibility.
•    Provides ad-hoc reporting and account analysis as needed on matters of responsibility.
•    Other duties as assigned.

Qualifications

Requirement:

Education
The position requires a Bachelor’s Degree, preferably in Accounting or Finance. Equivalent training and experience may substitute for education.

Experience
The position requires basic familiarity with Customer Service and Accounting concepts. Training will be provided on the job.

•    Demonstrated ability to provide basic client service requiring ordinary tact and courtesy.
•    Knowledge of basic accounting and/or budgeting principles and the ability to track, organize, analyze and report financial data in a clear manner.
•    Demonstrated basic knowledge of MS suite of products such as Word, Excel, PowerPoint, and Access.
