Job Description

Job Summary
The Client Services Secretary works with a dedicated team and is accountable for providing professional and administrative support to a group of attorneys by Practice Group.  

Job Responsibilities
•    Responsible for billing edits, preparing cover memos, copies, and submitting final billing package to Accounting.   
•    Edits, finalizes and troubleshoots legal documents. Proofreads documents to ensure accuracy of copy, grammar and punctuation and correct formatting.  Arranges for return of work to attorney.
•    Opens, sorts and distributes mail, as needed.
•    Coordinates client mailings and distributions.  
•    Assists with scanning and converting documents from PDF to Word, PPT, or Excel.
•    Assists with digital document transcription.
•    Answers and screens telephone calls in a professional manner consistent with attorney preferences, as needed.
•    Inputs and edits attorney time for client billing purposes.
•    Creates files and saves documents to firm’s file management system in compliance with office policy to ensure accurate and efficient retrieval of data.
•    Coordinates conferences, meetings, appointments and preparation of materials.
•    Coordinates travel arrangements by securing air, hotel and car reservations for attorneys as assigned.
•    May assist practice group leaders and business managers in the development of various data or documents.
•    Drafts routine correspondence and compiles data and documents, as assigned.
•    Coordinates projects with other secretaries, service departments and outside vendors, as appropriate.
•    Serves as an information resource on firm policies and procedures, refers questions to management when appropriate.
 

Qualifications

Knowledge, Skills and Abilities 
•    Ability to perform both routine and non-routine tasks with care, attention to detail, and efficiency and consistently provide a high level of customer service.
•    Demonstrated proficiency in the use of MS Office 2010 software and advanced knowledge of MS Outlook, Litera Change-Pro, Adobe Acrobat Pro (including extracting and converting PDF files) and ability to learn any additional software the firm utilizes in the future.
•    Extensive knowledge of advanced functions such as TOC, TOA, Best Authority, Cross-referencing, Track Changes, Tables, Styles.
•    Familiarity with graphics and picture manipulation, including resizing, copying and pasting functions in connection with PowerPoint presentations.
•    Demonstrated ability to follow directions and work effectively both independently and with others in a cooperative, enthusiastic and friendly manner.
•    Ability to adapt to changing priorities and meet deadlines. 
•    Ability to represent the firm with honesty, integrity, and professionalism, consistently acting in an ethical manner.
•    Must possess a thorough command of the English language including excellent spelling, grammar and punctuation. 
•    Working knowledge of legal terminology and procedures.
•    Ability to accurately type 60 words per minute.
•    Ability to work overtime hours as requested.
•    Demonstrated ability to communicate clearly and effectively, both orally and in writing with attorneys, staff, vendors, and external contacts.
•    Ability to exercise sound judgment and discretion in establishing and maintaining good working relationships with attorneys and staff.
•    Ability to lift, move and carry items without assistance, weighing up to 25 lbs.  

Education
The position requires a High School Diploma or GED.  AA/BA/BS degree or equivalent specialized training a plus. 

Experience
The position requires a minimum of five (5) to seven (7) years of administrative experience.  A minimum of two (2) years of experience in a legal environment required.
