Job Description

Job Summary:

The Client Services Specialist is accountable for providing administrative support and client service to attorneys and/or staff in order to meet critical deadlines within established guidelines.  This position is expected to perform administrative tasks while demonstrating a strong work ethic, high energy, and solid communication and organizational skills.

Job Responsibilities:

•    Composes, formats and finalizes documents, reports and materials.  
•    Proofs documents and materials for accuracy, punctuation and grammar.
•    Maintains a calendar of meetings, appointments and special events.
•    Reviews and manages emails to respond or take action as appropriate.
•    Inputs and finalizes attorney time for billing purposes.
•    Coordinates domestic and international travel.  
•    Prepares and submits travel and expense reimbursements.
•    Assists attorneys with requests to open new client matters.
•    Receives and screens telephone calls consistent with firm policy and attorney preferences. Refers calls to other resources as appropriate.
•    Maintains physical and/or electronic filing systems to ensure accurate and efficient retrieval of information.
•    Handles incoming/outgoing mail correspondence in accordance with firm policy and procedures.
•    Collaborates with staff, service departments or firm resources to complete tasks as appropriate.
•    Assists with firm administrative or operational tasks as needed.
•    Serves as a resource on firm policies and procedures, referring matters to firm administration when appropriate.
•    Protect firm assets by following prescribed guidelines for use of resources.
•    Provide backup support to other attorneys and/or staff via the teaming concept. 
•    Participate in the firm or department initiatives as needed.
•    Performs other duties based upon the unique practice of assigned attorneys and/or staff.

Qualifications

Requirements:

Education
The position requires a High School Diploma or GED. A Bachelor’s degree is strongly preferred but an equivalent combination of education, training and experience may be considered.

Experience
The position requires two (2) to five (5) years of solid administrative experience in which the knowledge, skills and abilities applicable to this position were demonstrated. 
Administrative experience in a legal environment a plus.

Knowledge, Skills and Abilities:

 •    Demonstrated intermediate-level knowledge of MS Office suite including Word, Excel, PowerPoint and Outlook.
•    Must possess a keen attention to detail in completing tasks or assignments. 
•    Able to exercise sound judgment, care and discretion performing tasks or handling confidential or sensitive information.
•    Able to adapt to changing priorities and maintain a productive work effort in meeting deadlines and managing workload.   
•    Able to communicate clearly and effectively, both orally and in writing, with internal and external contacts.
•    Must possess a thorough command of the English language, including excellent spelling, grammar and punctuation.
•    Able to provide high-quality client service to internal and external contacts.
•    Must possess the interpersonal skills necessary to interact with others with poise, tact, diplomacy and professionalism.
•    Must be able to follow instructions from a diverse group of internal and external contacts.
•    Able to take ownership of and follow through on tasks or assignments.
•    Able to represent the firm with honesty, integrity and in an ethical manner.
•    Able to work independently and with others in a cooperative, enthusiastic and friendly manner.
•    Able to accurately type a minimum of 50 words per minute.
•    Possess a basic knowledge of standard office equipment including copy, printing, fax and scanning machines.
•    Able to work overtime hours as requested.
•    Able to safely lift, move and carry items weighing up to 25 lbs without assistance.
