Job Description

Job Summary:

The Manager, Billing (LA) is responsible for overall management of the firm’s billing function and personnel. The role is supported by the firm’s centralized accounting department in Washington, DC.   

Job Responsibilities:

•    Performs start-to-finish billing for all of the Billing Attorneys in the LA office. 
•    Directly supervises billing staff in the California offices. Hires, retains, motivates, develops and evaluates staff in a fair, equitable and non-discriminatory manner. 
•    Prepares and delivers annual performance reviews which compare the performance of direct reports to expectations communicated.
•    Acts as a liaison between attorneys and billing staff.
•    Reviews client billing guidelines, coaches direct reports on their impact and updates the billing notes accordingly.
•    Analyzes complex contractual billing arrangements to accurately process billing data, issue accurate invoices on a timely basis, and maintain compliance with applicable government regulations and specific Alternative Fee Arrangements.
•    Provides information and various reports to management, attorneys, and secretaries upon request. Utilizes the firm’s financial systems, Excel, and other reporting tools, to keep involved parties up-to-date regarding billing aspects of assigned contracts.
•    Updates client information in the Elite master billing files; researches and responds to inquiries relating to client charges.
•    Manages firm billing (work in progress), including following up with attorneys regarding WIP and communicating with Manager regarding areas of concern and non-performance. 
•    Coordinates requests for electronic invoicing with internal/external clients and third-party vendors, working with the DC office’s E-billing Coordinator.
•    Documents billing process, updates documentation for procedures related to special client billing arrangements.  Provides billing compliance training recommendations and feedback to billing management to improve end-to-end billing process.
•    Assists professional staff and attorneys with the firm’s billing procedures using the firm’s financial systems, and provides ongoing training for new and current billing personnel.
•    Working with the DC Accounting department, ensures that all CA office vendor invoices, check requests and travel and entertainment reimbursement forms are processed properly.  
•    Provides direction and training on time entry to new attorneys and secretaries.
•    Monitors staff adherence to internal procedures under a quality control program.
•    Works independently under the management of the Assistant Director, Billing & Collections.
 

Qualifications

Requirements:

Education 
The position requires a Bachelor’s Degree in Accounting or Finance.  Equivalent training and experience may substitute for education. 

Experience
The position requires a minimum of five (5) years of experience increasingly responsible, directly related experience during which knowledge, skills and abilities relevant to the position were demonstrated.  Experience with a law firm or other professional services organization using a sophisticated financial management system such as Elite preferred.

Knowledge, Skills and Abilities:

•    Demonstrated advanced knowledge of Elite or other similar accounting system with the ability to instruct others in its use.
•    Demonstrated ability to communicate clearly and effectively, both orally and in writing, with attorneys, staff, vendors, and client contacts.
•    Demonstrated ability to independently organize and prioritize highly detailed work in a dynamic and complex environment to meet deadlines and daily requirements.
•    Demonstrated ability to provide quality customer service to both internal and external contacts, regarding billing or other financial matters.
•    Demonstrated high proficiency in Microsoft Excel and other Microsoft suite applications.
•    Ability to exercise considerable independent judgment, tact and initiative in resolving problems and handling confidential matters.
•    Ability to understand and enforce client service standards and expectations within a law firm and/or professional services environment.
•    Demonstrated knowledge of accounting concepts and procedures.
•    Must be detail-oriented and demonstrate a commitment to accuracy and thoroughness.
