Job Description

Job Summary:

The Senior Records Specialist provides records management services to the firm. The senior specialist adheres to daily record center operational tasks and procedures. He or she provides quality customer service and ensures all assignments are completed accurately and efficiently and promotes professionalism and teamwork.

Job Responsibilities:

• Provides day-to-day support and oversight of functions within the Records Center. Assists manager with adherence to schedules, procedures and tasks.
• Coordinates program and project specific activities with minimum supervision. At times, serves as project leader and ensures timely and accurate completion of projects.
• Assists with new hire orientation program and cross training of records staff members. Assists with the training of the staff and user departments.
• Performs data entry in the records management database. Assists users with requests for information or reports from the records database. Answers and responds to e-mail requests and phone calls.
• Prepares and processes client files for off-site storage. Provides assistance with the delivery of off-site storage boxes to our clients.
• Performs scheduled audits of the records center, offices and workstations.
• Provides case room management assistance.
• Provides assistance with scheduled file pick-ups.
• Provides assistance with document destruction activities.
• Provides assistance to records center personnel as needed and assists with additional projects as necessary.
• Other duties as assigned.

Qualifications

Requirements:

Education
The position requires a High School Diploma or GED.

Experience
The position requires a minimum of three (3) years of increasingly responsible, directly related experience during which knowledge, skills and abilities applicable to the position were demonstrated. Experience in a law firm environment preferred.

Knowledge, Skills and Abilities:

• Demonstrated ability to communicate clearly and effectively, both orally and in writing, with Records staff and clients.
• Demonstrated ability to provide basic client service requiring ordinary tact and courtesy.
• Ability to lead others effectively in a team or cooperative, enthusiastic and friendly environment to complete small/medium-scale projects and to reach established goals and objectives in a timely manner.
• Demonstrated ability to organize and prioritize work in a dynamic and complex environment to meet deadlines and daily requirements, including appropriate handling of sensitive or confidential information.
• Intermediate knowledge of automated records management systems and the ability to enter data, retrieve information, and generate reports.
• Ability to safely lift, move and carry boxes without assistance, weighing up to 25 lbs.
