Job Description
ESSENTIAL DUTIES AND RESPONSIBILITIES
Meetings and Conferences (60%)
- Lead the strategy, planning, and execution of CSWE’s Annual Conference (CAC) and other CSWE hosted meetings and events.
- In collaboration with the VPAO, oversees site selection, contract negotiations, budgeting, registration, and logistics for all events.
- Collaborate cross-departmentally to develop engaging, inclusive, and mission-aligned meeting programs.
- Manage vendor relationships, including hotels, audiovisual, technology platforms, decorators, and other service providers.
- Oversee exhibitor service providers, insurance tracking (COIs), and development of exhibitor manuals and training materials.
- Ensure events meet accessibility, sustainability, and inclusiveness for all attendees and membership.
- Oversees and collaborates with the Meetings Sales & Corporate Sponsorships Manager with the exhibit hall management to include overseeing communication with sponsorships, on-site exhibit hall logistics and oversite of Map Your Show tasks leading up to CAC.
- Coordinate with the Trade Show Team, show contractors, and communications staff to ensure timely and accurate exhibitor information and event content.
- Collaborate with executive leadership team on the CSWE crisis management plan at CAC.
- Regularly evaluate and update safety and security protocols for meetings; implement immediate changes as needed.
- Partner with the communications team on CAC website content, mobile applications, and related print materials.
- In collaboration with the education and communications teams, manages and updates the CSWE CAC website, including registration, policies, and travel information.
- Works with external partners to identify and implement virtual event technologies, lead training on best practices and new tools.
- Provide on-site leadership at CAC and other CSWE hosted meetings, ensuring smooth registration, setup, and exhibitor operations.
- Create and oversee production of meeting-related communication briefs, graphics, signage, and materials.
- Develop post-event analyses and recommendations for continuous improvement for future.
Operations and Administration (30%)
- Oversee operational workflows to support effective internal systems, administrative processes, and cross-department collaboration.
- Support the Vice President of Administration & Operations in organizational planning, budget monitoring, and process improvement initiatives as it relates to meetings & operations.
- Develop and maintain standard operating procedures (SOPs) for meetings, office operations, and vendor management.
- Coordinate office logistics and administrative systems to ensure organizational efficiency.
- Supervise meetings & operations staff, providing guidance, professional development, and performance management.
Strategic Leadership and Collaboration (10%)
- Contribute to the organization’s strategic planning efforts by aligning meeting and operations strategies with CSWE’s long-term goals.
- Represent CSWE at industry events, partner meetings, and professional forums.
- Foster a culture of collaboration, accountability, and service excellence across the organization.
- Other duties as assigned.
Qualifications
QUALIFICATIONS, KNOWLEDGE, SKILLS
- A Bachelor’s degree is required; Master’s in Business Administration or related is preferred.
- Minimum of 5-7 years of experience in meetings and exhibits planning, including project management, business planning, and integration of technology on both a strategic and tactical level; experience leading meetings for an association strongly is required.
- Certified Meeting Professional certification is preferred.
- Experience managing large vendor contracts concurrently .
- Supervisory and staff development experience is required.
- Knowledge of exhibit, sponsorship and advertising sales a is required.
- Excellent communication skills including public speaking, writing, active listening, and synthesizing information from diverse sources when working with colleagues, members, and volunteers.
- Outstanding attention to detail.
- Strong, proven leadership skills amongst staff and management; ability to engage effectively with senior professionals (internal and external business partners).
- Strong budget management skills.
- Stellar interpersonal skills and ability to cultivate an atmosphere of collaboration, integrity, trust, diversity, and respect.
- Ability to solve problems with good judgment and maintain effective working relationships.
- Ability to efficiently manage time, meet schedules/deadlines and handle multiple assignments simultaneously.
- Computer proficient and adept at learning new software.

• The salary range for this position is commensurate with experience ($115,000-$120,000 annually).

This position is primarily remote with periodic out-of-town travel. Position requires ability to communicate effectively and the ability to use computers, telephones and other office equipment.
