Job Description

The Receptionist/Administrative Assistant is the first point of contact for visitors and candidates; providing a friendly, welcoming environment is of the utmost importance in this position.  In addition, the Receptionist/Administrative Assistant will assist with the management of administrative functions and perform general clerical duties. 

This is a full-time, onsite position at our facility in East Orlando. The anticipated start date for this position is on or after January 9, 2023.

Key Responsibilities:

  • Maintain a welcoming environment by keeping reception and Board Room area clean; provide refreshments; maintain library of information and reading; maintain security.
  • Answer, screen and route telephone calls and website inquiry emails promptly and courteously to appropriate staff.
  • Forward information by sorting and distributing mail and applications.
  • Coordinate, order and set up for company lunches and events.
  • Assist with Business Leader Summits and Board Meetings.
  • Maintain office equipment: schedule repairs, restock copier and postage machine. Maintain copier and visitor supplies.
  • Perform general clerical duties, such as answering the phone, updating phone list, maintaining files, completing reports, performing data entry or related duties.
  • Travel/Boat Show Registrations; book travel and boat show registrations, research travel; flight, hotel, car rental. Update travel calendar. 
  • Vehicle and boat maintenance: e.g., oil changes, wash, maintain registration, etc.

  • Ability to make sound judgments and take the initiative to establish priorities, meet deadlines, and make decisions within the functional area of responsibility with minimal direct supervision.
  • Bilingual in Spanish is a plus.

Qualifications

  • Associate degree (A.A); one to two years related experience; or equivalent combination of education and experience.
  • Proficiency with Microsoft Office products.
  • Must be a licensed driver with a good driving record (subject to MVR).
