Job Description

The Executive Assistant will provide high-level administrative support to the Executive team with professionalism and in a manner that reflects positively on the organization.

  • Provide administrative support and assistance to the Executive Team
  • Manage sensitive matters with confidentiality and discretion, especially decisions directly impacting the operations of the company
  • Sustain a daily calendar of meetings and events; schedule and attend meetings on behalf of executives, taking notes and recording minutes
  • Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects, and other documents in support of objectives for the organization
  • Arrange travel and accommodations for members of the Executive Team; prepare expense reports
  • Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls to appropriate staff
  • Draft and prepare correspondence for internal announcements, board meetings, and organizations that executives are involved with
  • Receive incoming communication or memos on behalf of the Executive Team, review contents, determine importance, and summarize and/or distribute contents to appropriate staff
  • Represent the company in a positive light through great follow-through skills and sound judgment
  • Conserve the time for members of the Executive Team by reading, researching, collecting, and analyzing information as needed, in advance
  • Organize complex calendars and schedules; resolving any scheduling issues
  • Perform office tasks including maintaining records, ordering supplies, etc.
  • Ability to function well in a high-paced environment; performs additional duties as assigned by the Executive Team

 

Qualifications

  • 5+ years of related experience required in working in an executive assistant role supporting multiple executives and/senior staff
  • High school diploma required; Bachelor's degree in Business Administration or related field preferred
  • Excellent organizational skills and attention to detail
  • Excellent communication and time management skills; proven ability to meet deadlines
  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems
  • Advanced proficiency in Microsoft Office Suite or similar software with the ability to learn new or updated software
  • Ability to communicate effectively and professionally
  • Flexible hours as dictated by the needs of business for projects and meetings
