Job Description

Accounts Payable Specialist will report directly to the Controller and will be expected to perform various duties in all aspects of the Accounts Payable function, including maintaining recordkeeping and retrieval of documents, checking incoming mail for payables, processing invoices for payment, resolving past due accounts, and other duties as needed. Must establish excellent working relationships with other accounting staff and internal departments such as procurement and operations, as well as company vendors to ensure timely and accurate processing of vendor invoices.

PRIMARY DUTIES:

  • Reconcile invoices to purchase orders and receiving tickets (three-way match)
  • Obtain appropriate approvals for payment of invoices received that do not have a purchase order
  • Responsible for the accurate coding and timely processing of overhead invoices
  • Ensure all supporting documentation of workflow is attached to the applicable invoice and payment check
  • Ensure proper maintenance of the accounts payable files
  • Investigate and resolve all discrepancies associated with the processing of invoices
  • Ensure transactions comply with financial policies and procedures
  • Assist in month-end accrual procedures
  • Responsible for correspondence with vendors
  • Reconcile vendor statements and resolve discrepancies
  • Maintain compliance with government as well as construction accounting procedures
  • Other tasks as assigned.

WORK HOURS:
Monday – Friday, 8:00 AM – 5:00 PM

Qualifications

  • 1 - 2 years of experience accounting or finance, preferably at least 1 in accounts payable, or a college degree in accounting
  • Experience working with Deltek Costpoint a plus
  • Excellent communication skills
  • Must be detail-oriented
  • Critical thinking skills
  • Proven ability to multitask, prioritize and meet deadlines
  • Ability to work with a variety of different departments
  • Ability to pick up information quickly
  • Willingness to cross-train within the department
  • Ability to adapt quickly to changing environments and requirements
  • Proficient in Microsoft Office suite
