Job Description

TITLE: Office Manager

LOCATION: Philadelphia, PA

SCHEDULE: Full-Time

TRAVEL: < 5%

COMPENSATION: $50,000 - $60,000 annually

BENEFITS: All employees receive access to our health insurance plan (we cover 75% for employees, spouses, and children), flexible paid time off, 401K with company match, and equity stock options.

As our Office Manager, you will help ensure the safe and efficient operation of our Philadelphia Design & Build Shop by providing high-level support to various teams across the company and managing all facility related services.  

Key Responsibilities 

  • Oversee day-to-day office services to include working as a liaison with building management for repairs and maintenance and outside vendor management
  • Manage office security issuing both new hire and visitor badges and maintain visitor logs to comply with company guidelines  
  • Negotiate contracts with vendors to manage office services and set up company preferred supply, airline, hotel, and transportation services
  • Organize corporate meetings and office events to include site research, contract negotiation, coordination and facilitation within budget
  • Assist multiple departments with invoice processing, booking travel, scheduling meetings, and IT procurement
  • Train with various departments including Marketing to set up trade shows, manage online company store, update product data sheets, and assist with IT basic set-up and troubleshooting
  • Coordinate office layout and buildout activities
  • Partner with the HR Coordinator to schedule meeting agendas and travel itineraries for interview candidates and new hires
  • Facilitate new employee onboarding and IT coordination when necessary

WHAT YOU’LL NEED

  • 1-2 years experience in office setting

  • Experience using Google Workplace and Microsoft Suite

  • Comfortable handling sensitive and confidential information

  • Well-developed communication and analytical skills

  • Excellent interpersonal and relationship building skills

  • Strong planning and organizational skills
