Job Description

Position:              Administration Coordinator   


Location:             Columbia International College   


Overview:            We are looking for a positive and energetic Administration Coordinator for a busy school location in Hamilton.  The Administration Coordinator works with the onsite team to ensure all paperwork, administration, financial reporting and analytical functions are complete thoroughly and accurately. Operational assistance may be required from time to time. Strong organizational and detailed skills is essential for this position. This position will report directly to the General Manager. Additional duties as outlined by the General Manager may be required when needed.




  • Ensure all weekly reporting deadlines are met by checking all invoices are inputted correctly, sending invoices to clients and reconciling meal plans every week

  • Ensure all catering functions are entered and reconciled accurately and properly

  • Verify all paperwork including catering orders, inventory and other meal plan related documents

  • Assist in putting documents, presentations and slide decks together for client and company use

  • Work with the supervisors and managers to ensure all paperwork is completed and timely submitted. Assistance may be required from time to time to ensure strict deadlines are met.

  • Ensure strict compliance with Compass’ Quality Assurance and Health and Safety Program, Occupational Health and Safety Act and WHMIS regulations

  • Understands the importance of supporting the General Manager and presents a ‘unified front’ to all associates and managers

  • From time to time attend functions, training seminars, and meetings as assigned by the General Manager

  • Assisting in the role of operations when required

  • Additional duties as outlined by the General Manager as required


Additional Information



Required  (Please only apply if you meet all required qualifications):


  • Previous marketing experience (preferable in a hospitality environment)

  • Post-secondary Business/Hospitality diploma or degree and / or relevant experience

  • Ability to multitask and excellent organizational skills

  • Ability to learn new systems, programs and terminology

  • Ability to work under pressure, produce results, handle numerous tasks at once and meet deadlines

  • Excellent communication skills, both oral and written

  • A detail oriented individual and strong team player

  • Strong computer skills using different software applications (Word, Excel, Outlook, PowerPoint). Also strong with presentation software.

  • Able to work independently with minimal direct supervision

  • Understands the importance and appropriate application of social media, websites, digital signage, and other innovative technologies

  • Ability to multi-task as well as think and demonstrate creative flair

  • Positive with a "can do" attitude!
