Job Description

•          Coordinates activities in the reception area to ensure effective telephone and mail communications both internally and externally to maintain professional image.

•          Coordinates overall administrative activities for respective office.

•          Supervises the maintenance and alteration of office areas and equipment, as well as layout, arrangement and housekeeping of office facilities.

•          Coordinates the purchase of office supplies and furniture, office equipment, etc., for the entire staff in accordance with company purchasing policies and budgetary restrictions.

•          Supports operations with Job Costing

•          Responsible for the facilities day-to-day operations (such as distributing building access keys and back-up to security access cards, etc.)

•          Maintains payroll time and attendance records

•          Assists in completion of new hire documents.

•          Provides support to senior management in coordinating meetings and lunches.

•          Participates as needed in special department projects.

Qualifications

Associates degree or equivalent experience. At least five years of previous experience in office environment. Good planning and organizational skills. Well-developed interpersonal and communication skills. Professional appearance and manner.  Demonstrated ability in Microsoft Office to include Word, Excel, and Power Point.  Able to type at 95% accuracy.  High attention to detail.

Ability to coordinate own and others’ actions, manage own time and manage personnel resources. Strong understanding and expression of written and verbal language. Sensitivity to problems; ability to tell when something is wrong or is likely to go wrong.
