The Team

Our Project & Building Consultancy team works across the whole of the UK and on various projects within EMEA. They cover a large range of sectors to maximize the potential of our client’s real estate assets and create positive environments for the end user.

From strategic technical due diligence across full portfolios, to large scale regeneration projects, the team has extensive experience in delivering enjoyable spaces, increasing a site’s ROI and strengthening its position in the market.

Following a recent strategic partnership with Paragon Building Consultancy, the team are now the largest service within Colliers with over 12 sub-services, and over 200 experts who offer a fully integrated service for both landlord and occupiers in private and public sector such as Legal & General, Columbia Threadneedle, Delancey and Patrizia.

Job Description

The Office Junior will be responsible for several general office administration and reception duties. They will work closely with the Business Support / Office Manager and Secretaries to help maintain a smooth and efficient office.  We are looking for someone that is friendly, approachable and proactive in their work habits while showing high interest and engagement in all tasks delegated to them.

Office Administration

  • Opening and closing the office. (Lights, Tv’s, Kitchen)
  • Keeping all areas clean and presentable.
  • Greeting guests/ clients and notifying staff of their arrival.
  • Booking meeting rooms, assisting with meeting set up and preparing refreshments.
  • Answering the phone/ screening calls. Transferring or taking messages when necessary.
  • Collecting and distributing post to staff. Taking out-going post to reception during the afternoon.
  • Booking and arranging, travel, hotels and couriers for members of staff.
  • To provide Ad-Hoc administrative assistance to the BSM and Secretarial team where required.
  • Downloading of photos for fee earners.
  • Scanning, printing and binding of documents when necessary
  • Managing archiving.
  • Updating CRM system where required.
  • Act as First Aider and Fire Warden.
  • Assisting with onboarding with new starters; Office Tours, Security Passes and Introductions.
  • Running office errands when required.

 

Supplies

  • Stocktaking and ordering stationary when needed.
  • Checking kitchen supplies including Fruit, Tea, Coffee etc are stocked weekly.
  • Organising and ordering stock in preparation of events.
  • Keeping the kitchen tidy including filling/ emptying the dishwasher and ensuring condiments and milk are in date.
  • Topping up printers with ink and toners when needed and stocking up paper throughout the day.

Qualifications

Skill and Experience

  • A self-starter with initiative drive and motivation to succeed.
  • An individual with good interpersonal skills who can work as part of a team.
  • MS Office skills
