Job Description

The Knowledge & Information team is responsible for:

  • Proactive and reactive delivery of relevant news and current awareness
  • Reacting to a range of requests for internal and external information
  • Ensuring access to and evaluation of relevant and appropriate information resources
  • Training clients so they have the expertise to research efficiently using the services and systems provided
  • Facilitating the implementation and effective use of the firm's knowledge systems

Scope of Role

The K&I Coordinator has responsibility for the day-to-day delivery of the service and to proactively contribute to its development in conjunction with other team members.  The K&I Coordinator will primarily be required to:

  • Handle enquiries.
  • Support the implementation and management of K&I products and processes within the practice areas and/ or sector groups.
  • Current Awareness and Updates.
  • Support with book orders, subscriptions and maintenance of intranet pages.
  • Provide administrative support.

These illustrate specific responsibilities required to fulfil the Scope of Role and are subject to change in response to business needs. 

Handle enquiries

  • Handle information enquiries which range in subject matter and complexity, to established service levels.
  • K&I Coordinator will not be responsible for in-depth legal research but will need to provide information to enable internal clients to undertake the legal research.

Support the implementation and management of K&I products and processes within the practice areas and/ or sector groups.

  • Process and distribute information materials to internal clients.
  • Assist with the capture and organisation of knowledge and information for inclusion in internal knowledge systems (including upload of knowledge and preparing profiles).  This requires the ability to understand, abstract and disseminate key information.

Current Awareness and Updates

  • Assist with the website monitoring of regulatory developments and other horizon scanning tasks to support internal clients.
  • Assist with tracking of news and other updates to support internal clients.

Books, Databases and Intranet Pages

  • Assist with ordering new library materials and maintaining office library collections.
  • Assist with testing of databases and report on findings.
  • Assist with the maintenance and development of relevant knowledge intranet pages.

Provide administrative support

  • Provide administrative support to the Knowledge & Information team.
  • Process daily mail, distribute hardcopy journals.
  • Manage the requisition forms and payment of all acquisitions.
  • Assist with projects to develop knowledge and information services.

Qualifications

The candidate will possess the following skills and qualifications:

  • Ideally, Bachelors degree or equivalent
  • Ideally have some experience working in a professional services or corporate office environment
  • Some experience of online research is desirable
  • High levels of organisation and efficiency, and the ability to prioritise
  • Ability to adapt to new and different requests and types of work
  • Have an open mindset toward learning about and using technology tools in the performance of duties
  • Strong problem-solving skills and analytical capability
  • Pro-active / self-starter
  • Strong interpersonal skills
  • Expected to work as part of a team and display a good team focus and team-working qualities
  • Excellent working knowledge of all MS office applications (including Outlook, Word, PowerPoint and Excel)
  • Excellent written and verbal communication skills
  • Fluent in English and Mandarin
