Job Description
The role
The Executive Assistant (EA) provides high‑level, trusted support to two Senior Partners who hold significant client‑facing and firm‑wide management responsibilities. The role requires exceptional day‑to‑day organisation alongside strong judgement, discretion and forward planning to support senior leaders operating at pace.
Operating across multiple priorities and often within tight timeframes, the EA will be central to enabling the Senior Partners to focus on strategic leadership, client relationships and business delivery. The role demands flexibility, resilience and a proactive mindset, including availability to provide out‑of‑hours support when required to manage urgent matters, travel disruptions or time‑critical communications.
The EA will handle highly sensitive and confidential information relating to clients, partner matters, financial performance, people issues and firm strategy. Absolute discretion, sound judgement and professionalism are essential. All work must be carried out in line with firm policies, regulatory obligations and the highest ethical standards.

- Finance, IT, HR, Global Business Services and other support functions
- Internal and external clients and stakeholders
Strong, collaborative relationships will be critical to ensuring seamless support and effective information flow.
What you will do
Executive & Personal Support
- Provide end‑to‑end executive and personal support to two Senior Partners, acting as a trusted gatekeeper and first point of contact.
- Proactively manage complex and frequently changing diaries, scheduling internal and external meetings across multiple time zones and resolving conflicts by business priority.
- Full inbox and communication management, including triaging, drafting responses, issuing holding messages, monitoring urgent requests and ensuring timely follow‑through.
- Provide out‑of‑hours support when required, including monitoring emails, calls and messaging platforms and responding to urgent or time‑critical matters.
- Prepare Partners for meetings through briefings, agendas, meeting packs and forward planning.
Travel, Logistics & Events
- Arrange and manage all aspects of domestic and international travel, including flights, accommodation, visas, itineraries, transport, expenses and invoices.
- Provide proactive support for travel disruptions, rerouting and last‑minute changes as needed.
- Organise internal and external events, client meetings, team offsites, retreats and hospitality, including venue research, invitations, RSVPs, logistics and on‑site coordination.
Client & Practice Support
- Act as a key point of contact for clients and internal stakeholders, ensuring a consistently high standard of client service.
- Support client relationship and business development activity, including organising meetings, assisting with pitches, presentations and client research.
- Maintain accurate client and matter information in firm systems, ensuring data integrity and compliance.
- Assist with updating Partner CVs, bios and other client‑facing materials.
Financial & Matter Management
- Provide financial and matter management support from inception through to billing, including conflict checks, engagement letters, matter set‑up and tracking.
- Support time recording, expenses, invoices, e‑billing requirements and pre‑billing processes.
- Monitor WIP, debts and billing milestones, attending meetings where required and following up on actions.
- Draft client communications relating to billing, WIP or matter administration, as appropriate.
Governance, Compliance & Operations
- Support governance‑related activities such as leadership meetings, reviews and confidential processes, ensuring accurate coordination and documentation.
- Assist with onboarding and integration of new joiners, acting as a first point of guidance on processes and systems.
- Own document and data management processes, including filing, archiving, proofreading, version control and coordination with specialist support teams.
- Ensure compliance with firm policies, mandatory training, risk and regulatory requirements.
- Provide holiday cover and support for other EAs/PAs as required, contributing to a collaborative support model.

Experience & Knowledge
- Proven experience supporting senior leaders in a professional services or similarly demanding environment.
- Experience of complex diary and inbox management, international travel and executive‑level support.
- Strong understanding of financial administration, billing processes and expense management.
- Advanced proficiency in Microsoft Outlook, Word, Excel and PowerPoint, with the ability to produce high‑quality documents and presentations.
- Experience using CRM, matter management and time recording systems is advantageous.
