Job Description
The Role
The successful candidate will be responsible for the following key responsibilities:
1. RESOURCING
Recruitment Support
• Office Seminar/Summer & Winter Clerk programme – assist with meeting room booking, restaurant booking, preparing seminar packs.
• Booking accommodation for students travelling from outside of the Tokyo metropolitan area
• Purchasing and maintaining a stock of novelty gifts for students
• Invoice management for event catering, graduate recruitment website, dinner/lunch arrangements
• Making arrangements for visitor registration for the office building
• Application management through the external website
On-boarding
• General onboarding administration support
Relocation / Immigration
• Booking serviced apartments for new joiners (locally hired or secondees) from overseas
• Courier arrangements to vendors (including application forms, passport or resident card copies, employment certificates)
• Vendor invoice management
• Document support for company housing contracts (including monthly rental invoices, contract renewals, moves, lease termination and new lease contracts)
• Preparation of the invitation letters for short term business visas
2. REWARD
Payroll
• Monthly data collection
• Overtime summary and submission to payroll provider
Leave Management
• Monitoring leave related queries and correspondences
• Workday administration working with our Delhi based team
• Quarterly reporting – coordinating the delivery of reports working with our Delhi based team
3. TALENT MANAGEMENT
Training
• Training event support
• External business manner training for newly qualified lawyers
Departure processes
• Preparing and tracking items on a leaver checklist following up with the relevant responsible people and the leave
4. GENERAL ADMINISTRATION
• Employment certificate preparation and issuance
• Invoice management – uploading supplier invoices on system.
• Procurement – supplier contract maintenance and administration support
• Maintenance and updates for our external Japan Website / Microsite
• Maintaining regular updates to the internal intranet site and uploading internal policies and other documents onto the intranet from time to time
• Filing and archiving – maintenance of physical document filing, archiving and disposal
Qualifications
Your Experience
• 3 to 5 years' work experiences in Human Resources or organisational experience required.
• Native speaker of Japanese with excellent English language skills (TOEIC 850 or above)
• You should be confident in following a pre-determined set of processes and have good attention to detail and accuracy in your work.
• You should be able to handle confidential matters carefully and professionally.
• You should be able to demonstrate excellent communication skills, both verbal and written, with the ability to escalate /collaborate with team members. You should possess the confidence to communicate with people at all levels both internally and
externally.
• You should be able to demonstrate excellent organisational skills, with an aptitude to understand new concepts quickly.
• You will need a flexible working approach and be solution focused in delivering the role's responsibilities.
• You will have the ability to be proactive in managing your work or the ability to develop skills to become proactive in your work.
• You will have a good level of technical skills including a solid working understanding of Excel, Word, PowerPoint and Outlook.
