Company Description

To provide comprehensive administrative and coordination support to the engineering project team throughout the full project lifecycle (initiation, planning, execution, monitoring, and closure). The role ensures accurate document control, procurement support, site administration, financial tracking, and compliance with South African engineering and labour regulations.

    Job Description

    Project Documentation & Control

    • Maintain the Project Document Register (drawings, specs, RFIs, submittals, NCRs, etc.).
    • Ensure version control and distribution in line with quality requirements.
    • Manage transmittals, track review cycles, and archive project records per POPIA and company retention policy.

    Procurement & Supply Chain Support

    • Assist with raising purchase requisitions (PRs) and tracking purchase orders (POs) for engineering materials, equipment, and subcontractor services.
    • Follow up with suppliers (local and international) on delivery schedules and shipping documents (e.g., for imported plant/machinery).
    • Maintain supplier registers and BBBEE procurement records.

    Financial & Budget Administration

    • Track project costs against budget using Dynamics365.
    • Process invoices, reconcile supplier statements, and flag cost overruns.
    • Assist with monthly project cost reports and progress claims

    Stakeholder & Meeting Management

    • Schedule and minute project meetings (internal, client, subcontractor, and site progress meetings).
    • Distribute action logs and track follow-ups.

    Qualifications

    • National Diploma or Higher Certificate in Project Management, Business Administration, or Office Management.
      Alternatively: A relevant engineering certificate (e.g., N6 Engineering Studies) with strong admin experience
    • 3–5 years of project administration experience, of which at least 2 years in an engineering, construction, or technical environment.
    • Experience with document control and MS Dynamics 365 will be desirable 
    • Proficient in MS Office
