Civitas is a small, high-performing, fully remote team of public health and health care association management professionals who are working to build our new organization both to serve our 170+ member organizations across the country and to deliver on our mission. Our members represent regional health improvement collaboratives, regional and statewide health information exchanges, all-payer claims databases, health data organizations, and affiliated organizations. Our federal and national grant-funded programs focus on multi-site data-driven approaches to advance health and health equity. The ideal person to serve in this role is looking for an opportunity to grow within a dynamic nonprofit organization with an important mission and is interested in developing subject-matter expertise in Civitas’ areas of focus.
Job Description
Position Summary
The Program Manager, Member Events or Sr. Program Manager, Member Events, is a key role in planning, coordination, and reporting of various network, member, and partner events and engagement initiatives under the guidance of the Vice President of Strategy and Network Engagement. You will contribute to the successful execution of the Annual Conference, the management of workgroups and councils, and the oversight of all other Civitas member events.
Responsibilities
- Annual Conference Planning:
- Manage planning, coordination, and execution of the Annual Conference under the guidance of the Vice President of Strategy and Network Engagement (VP).
- Collaborate with the VP to set objectives, select venues, manage budgets, and liaise with key stakeholders – vendors, sponsors, speakers, attendees.
- Contribute to and support strategies aimed at enhancing attendee engagement and participation. Such activities may include planning monthly Host Committee check-in meetings, organizing the call for proposals and supporting the Annual Conference Planning Workgroup convenings and proposal deliberations, drafting agendas, policies, surveys, and event communications.
- Provide project management for the Annual Conference overall event plan by documenting deliverables, timelines, responsibilities, status, risks, and other key information.
- Ensure all aspects of the conference align with our organization's mission and goals.
- Workgroup and Council Management:
- Provide support for workgroups and councils within our network to foster collaboration and knowledge sharing.
- Assist workgroup and council leaders as directed by the VP.
- Contribute to monitoring the progress and outcomes of workgroup initiatives, ensuring alignment with organizational objectives.
- Act as team lead and expert on workgroup and council management. Develop and maintain related SOPs, assist with training other Civitas team members with responsibilities related to workgroups and councils to ensure consistency in the delivery and associated processes.
- Event Coordination and Support:
- Assist in the coordination of Civitas events, including webinars, workshops, and meetings, to facilitate networking and shared learning opportunities.
- Collaborate with internal teams and the VP to plan and execute successful events.
- Participate in evaluating event outcomes and gathering feedback for continuous improvement.
- Reporting and Documentation Support:
- Assist in maintaining comprehensive records of all event-related activities and expenses.
- Contribute to the preparation of regular reports on events and workgroup and council member engagement for internal and external stakeholders under the VP's guidance.
- Operations Support:
- Support general operations tasks as needed, serving as a backup resource for general mailbox inquiries, administrative support, and other requests.
- Serve as the team subject-matter-expert on MS SharePoint/Teams meetings and Teams administration for workgroups, councils, and other convenings.
- Serve as the team subject-matter-expert on Zoom Webinar for large virtual meetings.
- Other duties as assigned.

- Bachelor's degree in a related field (e.g., Business Administration, Nonprofit Management, Public Health, Project/Program Management, or related areas.
- 4-8 years of relevant work experience in a role related to program management, onsite and virtual event planning inclusive of vendor management, or related functions. The successful candidate for the Sr. Program Manager role will have led the planning of in person and virtual conferences or summits in an organization or association similar to Civitas.
- Exceptional organizational and project management skills.
- Demonstrated customer service or member service excellence; superuser experience with customer relationship management tools like Salesforce preferred.
- Experience with virtual and in-person event management platforms.
- Strong communication and interpersonal abilities.
- Ability to work effectively in a fully remote environment.
Additional Information
Compensation
- Salary range: $65-$85k/year depending on qualifications and experience, eligible for a 5% performance-based bonus.

Location and Travel Requirements
- This is a fully remote position with occasional travel requirements. Employees must reside and perform their duties within the geographical boundaries of the United States, excluding its territories.
- Our team and organizational members are located across the U.S. While the expectation is that this person will be available during core team hours of 12 PM – 4 PM ET and will be flexible to meet the needs of team, members, and partners in other time zones.
- While the position is fully remote (no physical home office), employees must have a private and reasonably quiet place to work with consistent and fast internet and phone access.
