Agency Description

The Mayor’s Office of Civic Engagement and Volunteer Service (OCEVS) is committed to increasing long term, sustainable civic engagement throughout the city. To support this goal, we offer a variety of training opportunities for community members, nonprofit partners and City agencies. In addition, we support internal and cross-sector convening and collaboration to reduce silos and increase efficiency and efficacy of engagement and volunteer programs and tactics.  OCEVS is housed within the Mayor’s Office of Public Engagement (OPE).

Job Description

The Vaccine Volunteer Coordinator will support a team of City departments and external partners in recruiting, coordinating, and engaging volunteers to support COVID-19 vaccine distribution and outreach in Philadelphia.

Essential Functions

The duties of the Vaccine Volunteer Coordinator include:

  • Coordinate with site-based volunteer managers to facilitate the posting and management of volunteer opportunities through the Mayor’s Volunteer Corps portal.
  • Work with site-based volunteer managers to report hours and attendance for each volunteer shift.
  • Ensure that all volunteer opportunities are kept current and accurate.
  • Communicate with potential volunteers and direct them to the Mayor’s Volunteer Corps portal.
  • Work in the NGP VAN engagement database to keep accurate lists of potential volunteers and maintain data around volunteer hours for reporting purposes.
  • Train volunteer managers to use the Mayor’s Volunteer Corps portal.
  • Work with Philly311 to maintain up-to-date information to support call center staff in signing individuals up for volunteer shifts who are unable to access the portal digitally.
  • Coordinate outreach efforts to recruit additional volunteers to sign up for opportunities within the portal.
  • Support Volunteer Organizations Active in Disaster (VOADs) in connecting volunteer networks to volunteer opportunities.
  • Support volunteers to coordinate ridesharing resources for vulnerable individuals to access transportation to vaccine sites.

This position will have a mix of telework and in-person duties.

Qualifications

Education and Experience

  • Bachelor’s degree or equivalent experience is required
  • Minimum of 2 years of experience with community organizing or nonprofit volunteer coordination is preferred.

Competencies, Knowledge, Skills and Abilities

  • Ability to foster existing relationships and build new relationships with partners at multiple levels.
  • Strong aptitude for effective communication, remotely and in person, with supervisors, teammates, stakeholders and others.
  • Clear understanding of best practices in community engagement and volunteer recruitment/retention.
  • Data driven approach to problem-solving.
  • Excellent time management skills with capacity to work simultaneously on multiple projects and meet deadlines.
  • Comfortable working with data and digital systems.

Additional Information

Salary Range: $55,000
