Agency Description

The Mayor’s Office performs the day to day operations for the executive branch of Philadelphia City government and includes; Chief of Staff, Labor Relations, Office of Public Engagement, Mayor’s Office of Diversity and Inclusion and City Representative.

Job Description

The Special Aide to the Mayor is responsible for ensuring that the Mayor has a detailed understanding of upcoming events and meetings on his schedule. The Special Aide to the Mayor is required to attend all publicly scheduled events with the Mayor and is also responsible for on-site coordination with members of the media for off-topic questions. In addition to staffing the Mayor during events, the Special Aide to the Mayor is as a general handler and factotum, often serving as a connector to the administration for scheduling requests, constituent concerns, and general requests. The Special Aide to the Mayor reviews and edits the Mayor’s briefing book and is part of a four-person scheduling team that acts as the final point of contact for all departments and individuals scheduling events with the Mayor. 

Essential Functions

  • Accompany the Mayor to scheduled events and manage time based upon schedule
  • Coordinate all relevant press/media during events for off-topic questions 
  • Communicate briefing information to the Mayor for each event in a clear, concise, and accurate manner 
  • Provide updated materials to Mayor throughout day as needed
  • Assist Director of Executive Logistics as needed
  • Serve as point of contact for Mayor and Scheduling Team during public events 
  • Assist Digital Team and Digital Director as needed 
  • Other duties as assigned

Qualifications

Education and Experience

  • Understanding of city government and departments
  • Past work in policy, public administration or business 
  • Experience managing organizational systems
  • 1 year experience in a position focused heavily on communication, editing and data management
  • Experience staffing a high ranking official or corporate leader

Competencies, Knowledge, Skills and Abilities

  • Strong written and oral communication skills
  • Very strong attention to detail
  • Innate ability to anticipate possible conflicts and quickly problem solve 
  • Capable of getting things done both formally and through the informal network
  • Ability to exercise sound and independent judgement within general policy guidelines
  • Effective time management skills to multitask, and meet internal and external deadlines
