AGENCY DESCRIPTION

Mayor Kenney named the Chief Diversity and Inclusion Officer, (“CDIO”), and created the Office of Diversity and Inclusion, (“ODI”), on his first day as Mayor. As Philadelphia’s neighborhoods continue to grow and evolve, this office will reinforce the Mayor’s commitment to ensuring that the services provided and dollars expended by local government are a strong and vibrant model of fairness among the diverse groups that make up the neighborhoods of Philadelphia. The Office of Diversity and Inclusion will focus on promoting the value that diverse populations bring to our city; and for everyone, will fairly and equitably promote opportunities to be a part of the government.

Job Description

POSITION SUMMARY

This position requires a highly-organized individual to provide a variety of administrative tasks independently. This candidate must be a self-motivated, results oriented individual who can independently carry out tasks assigned with attention to detail, accuracy, and thoroughness. The position is primarily responsible for a variety of clerical and administrative duties that are necessary to run the office effectively. Applicant must have experienced knowledge of Microsoft Office applications (Excel, Word and PowerPoint). Examples of work include but are not limited to scheduling and arranging meetings, typing documents, independently creating emails of an administrative nature, interacting with other departments and offices as required and maintaining/filing ODI records.

SALARY: $35,000 per year

ESSENTIAL FUNCTIONS

  • Schedule and coordinate all meetings using Microsoft Outlook, prepare materials for meetings, keep track of appointments for the CDIO and other staff of ODI as required
  • Work independently on complex clerical tasks and present ideas effectively, both orally and in writing
  • Communicate and work effectively with public officials, associates and the public
  • Perform all administrative functions such as typing memos, reports, emails and maintain files
  • Interact with all staff members to ensure smooth communication and distribution of all reports between the staff and the CDIO
  • Receive and screen visitors and telephone calls, route to appropriate person and assist public with questions or complaints when possible
  • Assist ODI staff with administrative support when necessary
  • Maintain collegial relations with ODI Staff, and all departments within the Government.
  • Attend ODI trainings and oversee all procedures re the viewing of materials in PowerPoint format

COMPETENCIES, KNOWLEDGE, SKILLS, AND ABILITIES

  • Proficient with Microsoft Office tools (e.g. Word, Excel, PowerPoint, etc.)
  • Maintain spreadsheets in Microsoft Excel for tracking and reporting on data outcomes
  • Must have excellent word processing skills. All documents must be prepared in a thoroughly professional manner
  • Strong organization skills and multi-tasking as well as attention to detail
  • Ability to meet deadlines
  • Strong interpersonal skills
  • Strong communication skills both written and verbal
  • Ability to work independently

Qualifications

  • Completion of an Associate’s degree from accredited college
  • At least 3 years of administrative/clerical/secretary experience preferred
