Job Description
Under supervision, with some latitude for independent judgment, perform moderately difficult clerical duties, including but not limited to, office support via administrative and communication tasks, in compliance with established unit systems, procedures, policies and protocols.
These responsibilities include but are not limited to:
1. Communicating effectively both verbally as well as in writing. Responding to in-person, telephone, and email inquiries with superior customer service; maintaining high standards of timeliness and professionalism in customer service operations.
- Directing all inquiries to the appropriate personnel, units and divisions where necessary.
- Responding appropriately to requests from internal stakeholders (such as the FOIL unit)
2. Data entry tasks including (but not limited to):
- BIS Complaint creation, violation creation, and violation dismissal
- DOB NOW: Inspections: DOB violation and RCA uploads
- Tracking of inspection appointments in the borough Appointment Database
3. Preparing research packages for special projects; locating and compiling information from various sources.
4. Maintaining and organizing the unit’s digital recordkeeping system for Vacate Orders, Unsafe Building violations, and Access Warrants. Managing offsite archives in cooperation with the Record Management unit.
5. Maintaining the unit’s office supply inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
6. Provide administrative and project support to Administrative Coordinator and Chief Inspector as requested.
7. Contributing to the team effort by accomplishing related results as needed within a timely manner.
CIVIL SERVICE STATUS
Only those who are permanent in the Clerical Associate civil service title, applicants who are reachable on the Clerical Associate open competitive list, and applicants as indicated below will be considered.
Candidates who are permanent in comparable civil service titles may be considered for title change under rule 6.1.9 of the Personnel Rules and Regulations of the City of New York.
REMOTE WORK
This position may be eligible for remote work up to 2 days per week pursuant to the Remote Work Pilot Program.

Qualifications
Qualification Requirements
A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and one year of satisfactory clerical experience.
Skills Requirement
Keyboard familiarity with the ability to type at a minimum of 100 key strokes (20 words) per minute.
