Job Description

Work Hours: 8:00 am to 5:00 pm

Project Name: Acquisition Analysis and Public Power Expansion

Under the direction of the Director of Federal Agreements & Acquisition Analysis, the Junior Management Assistant performs administrative functions in the areas of day-to-day operations, projects budget, contract/grant development, office support services by planning, coordinating, supervising and evaluating the activities of assigned clerical staff in order to accomplish departmental goal and the scheduling of project related meetings; assists in developing, managing and implementing a competitive bid process by identifying needs, establishing contractual relationships, preparing requests for proposals, consulting with compliance officers in monitoring contracts and/or agreements, reviewing and amending contract documents prepared by contractors/vendors to verify specifications meet departmental requirements; manages office and coordinates clerical & technical support activities by assigning and evaluating a variety of clerical/administrative functions, such as, data processing, inventory control, distributing or reproducing reports; prepares agenda items, attends department meetings, and coordinates reports for various types of project meetings; provides support for PG&E litigation efforts including document management and various validation and analytical tasks; responsible for tracking consultant expenditures and progress of work plans in the City's acquisition of the PG&E owned distribution grid in San Francisco; responsible for preparing PowerPoints, reports, letters, memos and other documents under the direction of managers and analysts in the FAAA group; and performs related duties and responsibilities as assigned.

Essential Functions:

·         Provide administrative support for FAAA contracts, purchase orders, software licenses, as-needed contracts, and subscription services for power prices/weather.

·         Provide Administrative and Analytical support for new and special projects

·         Provide support for development and maintenance of Business Process documentation.

·         Filing/records retention; organizing physical and electronic files/documents/data.

·         Coordinate Training Workshops for staff and submit travel and training requests for outside workshops, conferences, and events. 

·         Provide information about the specific job opening.

·         Monitor and maintain the FAAA group budget. Work with management to develop, revise, monitor and report budget balances. Serve as point of contact for budget staff.

·         Monitor and validate consultant expenditures in support of the Acquisition project and on-going litigation at FERC and the CPUC.

·         Support and monitor project plans for Public Power Current Ops and Expansion Operational Readiness.

·         Prepare PowerPoints, memos, reports, letters, and other documents under the direction of managers and analysts in the FAAA group.

·         Class 1840 Junior Management Assistant performs other related duties as required.

Qualifications

Minimum Qualifications:

Education: Possession of a baccalaureate degree from an accredited college or university with major coursework in public or business administration, accounting, finance, economics, social sciences, education, or related field, or other areas closely related to specific department program or function.

Substitution: May substitute up to two (2) years of the required education with additional qualifying experience in program/office/operations management, budget development and/or administration, or contract/grant administration. One year (2000 hours) of additional qualifying experience will be considered equivalent to 30 semester units/45 quarter units.

Desirable Qualifications:

  • Bachelor’s degree in Business Administration, Finance, Economics, Engineering or related field.
  • Experience working in an office environment.
  • Experience working in a public utility, municipal utility or regulatory body.
