Job Description

Overview

The Civic Art Collection Associate Registrar (TEX) under direction of the Senior Registrar, Civic Art Collection and Public Art Program performs a wide variety of professional registration and administrative duties in support of the Arts Commission’s public art and collections management program.

Primary Duties of the Assistant Registrar

1.       Assist the Senior Registrar and Registrar (PCS) with the accession backlog of recently completed artworks into the Civic Art Collection. Help organize and maintain project related records as they transition from project managers to the collection archive. Create physical paper object files for these works, create digital files in our collections management database (EmbARK), and organize documentation on the agencies shared drive.

2.       Assist with the scanning/digitizing of physical files and adding them to the collections management database. Work with the Collections Team to develop protocols for continued digitizing and long term storage of archive records.

3.       Assist with the move of artworks into the new basement storage space at 401 Van Ness. Create temporary records in EmbARK, complete location changes, catalogue additional object data as discovered, and assist with the packing and unpacking of objects.

4.       Create and maintain both digital (EmbARK database) and archival documentation for works in the collection as needed. Assist the Senior Registrar in conduction research pertaining to objects in the collection and produce written reports to the Director and Commission as requested. Assist with public inquiry regarding objects in the collection.

5.       Assist in a variety of collections management projects, including but not limited to: updating inter-office loan documentation and assisting Registrar (PCS) with artwork relocations; digitally archiving conservation records in the collections management database; and project support for the collection located at SFO.

6.       Perform other related duties as assigned.

Qualifications

Education:  Possession of a baccalaureate degree from an accredited college or university with major coursework in public or business administration, accounting, finance, economics, social sciences, education, or related field, or other areas closely related to specific department program or function, such as art, art history, museum studies, or arts administration.

Substitution: May substitute up to two (2) years of the required education with additional qualifying experience in program/office/operations management, budget development and/or administration, or contract/grant administration. One year (2000 hours) of additional qualifying experience will be considered equivalent to 30 semester units/45 quarter units.

Desirable Qualifications

Experience: 

  • Verifiable art collection management/registration experience; AND
  • Computer literacy in word processing, data base management and a computerized registration system. Experience with EmbARK database software preferred.

Annual Salary: $72,722.00-$88,452.00
