Job Description

Under supervision, the Civic Design and Special Projects Program Associate performs administrative duties to assist in the coordination and implementation of the Civic Design Program, the Public Art Trust and Special Initiatives which includes public art projects and other endeavors.  Essential functions of the position include:

  • Assist the Director of the Public Art Trust and Special Initiatives with management of temporary and permanent public art projects and corresponding activities.
  • Help design and prepare visuals and graphics for documents and presentations related to the artist selection process and public information.
  • Provide assistance in preparing Request for Qualifications or Request for Proposals for artists and other vendors.
  • Conduct curatorial research as directed. Coordinate the logistics of dedications and public meetings to announce project opportunities and with the public display of finalists’ proposals.
  • Provide overall project coordination support relative to the coordination of artist’s and/or other contractor’s work during artwork design, fabrication and installation.
  • Coordinate details of project installation with other city departments, such as arranging for parking permits and street closures.
  • Handle the distribution of tickets for concerts cosponsored by the Arts Commission.
  • Schedule meetings, manage meeting room reservations and provide support and note taking during meetings including room set up and clean prepare succinct summaries and briefs, maintain concise and accurate records of various endeavors associated with the position. Provide major organizational support in the coordination of public meetings, Webex, Skype, Go to Meeting conferences, workshops and dedication events.
  • Respond promptly to inquiries from artists, other city staff and the general public and track various kinds of inquiries for data collection.
  • Oversee vendor set-up process and paperwork. Coordinate vendor bid process with Purchaser and Human Rights Commission as required under the Administrative Code. Assist in processing of invoices and vendor payments. Prepare necessary paperwork to accompany submission of payments and contracts.
  • Assist with coordination of monthly meeting of the Civic Design Committee, a sub-committee of the Arts Commission: prepare agenda, take minutes, communicate with guest presenters to obtain agenda items and presentation materials and ensure that submissions from various applicants are complete.
  • Help with set up of room, technology needs for presentations,  and the printing of materials for the Commissioners and public.
  • Assist with maintaining the Civic Design Program website and updating the Civic Design Guidelines to reflect policy and/or procedural changes.

 

Qualifications

Education:  Possession of a baccalaureate degree from an accredited college or university with major coursework in public or business administration, accounting, finance, economics, social sciences, education, or related field, or other areas closely related to specific department program or function, such as Art or Architecture.

Substitution: May substitute up to two (2) years of the required education with additional qualifying experience in program/office/operations management, budget development and/or administration, or contract/grant administration. One year (2000 hours) of additional qualifying experience will be considered equivalent to 30 semester units/45 quarter units.

Annual Salary: $72,722.00-$88,452.00
