Job Description

Under supervision, the Executive Assistant performs general administrative and/or management functions with rotating assignments, assists the City Attorney and executive staff with various projects and reports directly to the City Attorney and his/her designee.

The essential functions of the job include:

  • Performs administrative and/or management functions in the areas of operations, and/or office management/support services, including preparing, proofreading and delivering confidential documents for the City Attorney
  • Coordinates and assists in administering Office’s internship program
  • Assists in the preparation of fiscal reports
  • Coordinates clerical and technical support activities
  • Gathers, compiles, and analyzes data, usually of a confidential nature, and preparing confidential reports
  • Assists in developing and recommending changes to rules, regulations, policies, and procedures
  • Assists in the analyses of programs, proposals and projects

Appointment Type:

Permanent Exempt- Permanent exempt (PEX) position; individuals who are appointed to Exempt Positions are appointed at the pleasure of their appointing officer and are considered to be "at-will".

Qualifications

Minimum Qualifications:

Possession of a baccalaureate degree from an accredited college or university with major coursework in public or business administration, accounting, finance, economics, social sciences, education, or related field, or other areas closely related to specific department program or function.

Substitution: May substitute up to two (2) years of the required education with additional qualifying experience in program/office/operations management, budget development and/or administration, or contract/grant administration. One year (2000 hours) of additional qualifying experience will be considered equivalent to 30 semester units/45 quarter units.

Selection Procedure:

After application submission, candidates deemed qualified must complete all subsequent steps to advance in this selection process, which includes the following:

Minimum Qualification Supplemental Questionnaire (MQSQ): Candidates will be required to complete a MQSQ as part of the employment application at a later time. This MQSQ is designed to obtain specific information regarding an applicant's experience in relation to the Minimum Qualifications (MQ) for this position. The MQSQ will be used to evaluate if the applicant possesses the required minimum qualifications.”

The selection process will include evaluation of applications in relation to minimum requirements. Applicants meeting the minimum qualifications are not guaranteed advancement to the interview. Depending on the number of applicants, the Department may establish and implement additional screening mechanisms to comparatively evaluate the qualifications of candidates.
