Job Description

Project: Hetchy Capital Improvement Projects

This position will report to the San Francisco Public Utilities Commission (SFPUC), Infrastructure Division, Construction Management Bureau’s office in Moccasin, CA on a full-time basis.  The selected candidate will be assigned to various Hetchy Capital Improvement Projects and Mountain Tunnel Projects from San Joaquin County to Tuolumne County.  Residence in Moccasin, CA or its environs is highly desired due to the work location of this position. 

Under the general direction of the San Francisco Public Utilities Commission, Infrastructure Division, Construction Management Bureau Manager:  provides secretarial services of a difficult and responsible nature for one or more high level managers, section heads, unit chiefs or comparable level administrators.  This position requires a resourceful, deadline-driven, detail oriented, self-starter with excellent time management skills.  The ideal candidate has the ability to work independently, multi-task and adapt to changing priorities in a fast-paced, demanding work environment. 

Essential Functions:

  • Provides clerical, administrative and document control/records management support to an organizational group.
  • Types a wide variety of letters, memoranda, reports, meeting minutes and other material from copy or verbal instructions; may compose routine correspondence in accordance with standard practice and policies.
  • Screens office and telephone callers; personally assists those whose business does not warrant seeing the superior; screens incoming correspondence and routes accordingly; answers a wide variety of inquiries and explains office operations, policies and procedures.
  • Maintains office files for correspondence and records; maintains manuals and updates resource materials.
  • Makes appointments and arranges meetings for superior; makes travel arrangements as required.
  • Organizes and maintains a wide variety of electronic specialized records, reports, sensitive documents relative to records management system program, tracks and retrieves required information in a timely manner where accuracy to identify chemical contaminants is essential
  • Tracks and indexes purchase orders entered to specialized electronic database.
  • May assign and supervise the work of subordinate clerical personnel.

The 1446 Secretary II position will perform other related duties as assigned.

Qualifications

Experience:

  1. Ability to type 40 net words per minute. AND
  2. Two (2) years of secretarial experience encompassing editing and independently composing letters and other correspondence utilizing word processing systems; researching, compiling and organizing data for various reports; and maintaining office/record systems.

Substitution:

  • Three (3) years of verifiable clerical experience comparable to a 1424 Clerk Typist. 
  • A recognized clerical training program of 240 hours or the equivalent of 15 semester units in graded clerical college units may substitute for up to 6 months of experience.
