Job Description
In support of our growing accounting department, the Payroll/Accounting Manager is responsible for processing the semi-monthly payroll and assisting the Vice President, Controller in the management of the company’s accounting records, including Accounts Payable and Accounts Receivable. Primary Responsibilities Include:
- Payroll: Continuously ensure timely and accurate processing of payroll.
- Oversee the day-to-day operations of the payroll function including accurate and timely processing of payroll updates including new hires, terminations, and changes to pay rates
- Ensure agency compliance with all required federal, state, and local payroll tax filings
- Prepare and maintain accurate records and reports of payroll transactions, including monthly payroll entry
- Assist with annual financial and retirement plan audits
- Accounts Receivable: Support the day-to-day management of Accounts Receivable
- Prepare monthly invoices in accordance with client-specific requirements, route for approvals, and submit electronically via Ariba, Coupa, or email
- Maintain detailed records for all invoices to expedite internal review and audit compliance
- Process daily cash collections and maintain detailed records to facilitate bank reconciliation
- Review AR aging on a weekly basis and follow up with Account Directors on outstanding invoices beyond payment terms
- Accounts Payable: Support the day-to-day management of Accounts Payable
- Assist Vice President, Controller with vendor management process, including master data changes, new vendor documentation, and purchase order compliance
- Enter all vendor invoices in AP after approvals have been obtained and project numbers have been identified
- Review receipts for all employee expense reports and process for payment within company guidelines
- Review all corporate credit card transactions and documentation, post transactions, and ensure payment is processed by due date
- Maintain accurate and complete records for internal review and audit compliance
- Assist with weekly check processing and Year End 1099 reporting
Qualifications
- Bachelor’s degree required in Accounting, Finance, or related field
- 5+ years of relevant work experience, preferably in advertising or medical communication agency
- Extensive knowledge of the payroll function including administration and payroll tax compliance
- Prior experience with Deltek WorkBook, QuickBooks, and ADP Payroll a plus; comfort working with various technologies and platforms
- Excellent organizational skills, strong attention to detail, and excellent follow-up skills
- Knowledge of Microsoft Word and Advanced Excel
- Ability to work independently and as part of a collaborative team
- Effective attention to detail and accuracy
- High level of integrity, confidentiality, and accountability
- Ability to think analytically and to effectively plan, prioritize, and execute assigned tasks
- Expert verbal and written communication skills
