Job Description
The Business Operations Analyst plays a critical role in driving efficiency and reliability across our administrative functions. You'll be the problem-solver our team relies on to untangle complex operational challenges, design smarter processes, and execute high-impact projects that strengthen our business. This role combines analytical rigor with hands-on project ownership, offering the opportunity to make a tangible difference in how we operate.
Key Responsibilities
Problem Solving Across Admin Functions
- Investigate and resolve administrative issues spanning billing, collections, and back-office operations—from one-off exceptions to recurring patterns that impact efficiency.
- Diagnose root causes rather than surface symptoms, implementing sustainable fixes that prevent recurrence and build operational resilience.
- Serve as a trusted resource and subject matter expert for billing and collections teammates, helping them navigate complex or unusual situations with clarity and confidence.
Process Improvement & Optimization
- Identify inefficiencies, manual workarounds, and friction points across administrative workflows, then propose and champion practical, scalable improvements.
- Design, document, and implement new or updated processes and standard operating procedures (SOPs) that raise team capability and consistency.
- Continuously seek opportunities to automate or streamline repetitive work, partnering strategically with IT and finance leadership to maximize impact.
Special Projects & Execution
- Own and execute high-priority special projects in support of the administrative department—from system clean-ups and data migrations to new customer onboarding workflows and custom reporting builds.
- Scope projects with precision, establish realistic timelines, drive execution with accountability, and communicate progress clearly to stakeholders at every stage.
- Coordinate seamlessly with cross-functional partners across finance, operations, and IT to remove blockers and keep initiatives moving forward.
Data Analysis & Reporting
- Extract, clean, and analyze data from billing, collections, and operational systems to uncover insights that support informed decision-making and quantify operational challenges.
- Build recurring reports and ad-hoc analyses that give administrative leadership clear visibility into what's working, what isn't, and where to focus effort.
- Translate complex findings into actionable recommendations and clear next steps that drive measurable improvement.
Qualifications
Required Qualifications
- 3–6 years of hands-on experience in business operations, financial operations, billing, collections, or a related analyst role, with demonstrated impact on process improvement or operational efficiency.
- Proven ability to investigate complex operational and administrative issues independently, diagnose root causes, and implement sustainable solutions from start to finish.
- Advanced Excel proficiency, including expertise with lookups, pivot tables, data validation, and the ability to work confidently with large, complex, or unstructured data sets.
- Strong experience documenting processes, creating clear and comprehensive standard operating procedures (SOPs), and translating operational knowledge into actionable guidance for teams.
- Demonstrated track record of owning and delivering projects on time, including scoping work accurately, establishing realistic timelines, managing stakeholder expectations, and driving accountability to completion.
- Exceptional attention to detail, organizational discipline, and follow-through on commitments in fast-paced environments.
- Excellent written and verbal communication skills, with the ability to translate complex operational findings into clear, actionable recommendations for both technical and non-technical audiences.
Preferred Qualifications
- Direct experience in freight brokerage, transportation, logistics, or third-party logistics (3PL) operations.
- Working knowledge of transportation management systems (TransportPro, Cargotel, Tai) or comparable industry platforms.
- Familiarity with EDI standards, customer portal workflows, or accounts receivable and collections processes.
- Experience with process automation tools, SQL queries, or basic scripting to streamline repetitive administrative tasks.
- Exposure to continuous improvement methodologies such as Lean or Six Sigma, or a demonstrated commitment to operational excellence.
- Experience collaborating with IT and finance teams to scope and execute system implementations or data migration projects.
