PLEASE NOTE: ROLE CAN BE BASED NEAR ANY OF OUR REGIONAL OFFICES LOCATED: SAN DIEGO, CA; DENVER, CO AND JACKSONVILLE, FL.

LIVE: WHAT YOU WILL DO: 

The Benefits Manager will oversee the day-to-day operations of the benefits team. The Benefits Manager is responsible for leading the organization on employee benefits programs.

  • Design a competitive benefits program for our employees
  • Research to validate benefits practices are in compliance with current legislation
  • Determine efficiencies and streamlining of processes as it relates to our benefits program
  • Administer Benefits: serve as the primary contact for employees, benefit plan vendors, and third-party administrators regarding all benefits issues; investigate discrepancies and provide information in non-routine situations; coach employees through changing benefit elections in ADP, as needed; reconcile monthly bills; routine audits of benefits
  • Oversee the accurate preparation of qualified plans' IRS and ERISA-mandated submissions and employee communications, including: IRS Annual Return - Form 5500, Summary Annual Reports (SARs), Summary Plan Descriptions (SPDs), Summary of Benefit Coverage (SBCs) and Summary of Material Modifications (SMMs). Oversee the preparation of census reports for 401(k) mid-year and end-of-year testing, including the external 401(k) audit.
  • Develop and implement new and/or existing rewards programs, policies and procedures to ensure that programs are market-competitive, internally equitable, and cost-effective
  • Oversee health and welfare/retirement plan administration and compliance
  • Audits, testing, and 5500 filing
  • ERISA - plan document updates, amendments, notice requirements, SPDs work with benefits team on escalated carrier issues
  • ACA administration: Responsible for all ACA reporting and keeps abreast of regulatory changes affecting benefit plans and ensures company benefit plans and practices are in compliance with external regulatory requirements 
  • 1095 C prep
  • Review/maintain measurement periods
  • Manage/Oversee the annual Open Enrollment process - end to end
  • Partner with brokers on renewals, negotiations, benefit plan setup, enrollment communication strategy, EDI file/account structure changes, and maintenance, including COBRA open enrollment
  • Partner and manage benefit consultant/carrier/vendor relationships, making sure service level is met 
  • Manage leave of absence programs in compliance with FMLA and other state-specific family and medical leave laws
  • Administer end-to-end LOA in-house, verify eligibility, work with employees and managers on LOA process, documentation, deductions, and return to work verification,
  • Partner with Payroll team as it pertains to benefits and time off functionality in ADP WFN, modify the system, maintain benefit reports, dashboards and oversee updates
  • Oversee companies benefit technology (ADP WFN and enhanced time off platform)
  • Update/modify the system, review technical issues, run audit reports, etc.
  • Identify and resolve information system issues affecting benefits administration
  • Develop and oversee benefit communications
  • Work with team on various benefit communication throughout the year
  • Participate in designing benefit plan and total rewards 
  • Monitor benefit plan designs and makes recommendations based on current trends, utilization, and effectiveness
  • Benefits subject matter expert on questions and issues for the organization
  • Draft and/or recommend revisions to company benefit policies to ensure compliance with federal, state, and local laws and regulations
  • Facilitate presentations: Develops and coordinates communications designed to educate and inform employees about total rewards
  • Provide leadership to benefits staff through coaching and mentoring
  • Manage and develop the benefits team with an exceptional ability to execute the strategic plan and individual accountability for delivering results within attainable deadlines and/or industry standards. Conduct regular one-on-one and team meetings
  • Assist with Payroll as it relates to retirement requirements and other tasks as needed

Qualifications

  • 5+ years of benefits administration experience
  • Extensive knowledge of the leave requirements and other legal protections afforded by the FMLA, ADA, and other applicable laws
  • Excellent analytical and problem-solving skills
