Job Description

The Office Manager is responsible for maintaining the operational direction of the company. Specifically, the Office Manager directs, administers, and coordinates the internal and external operational activities of the company in accordance with its policies, goals, and objectives as established by the President. The Office Manager oversees the day-to-day management of company’s business and personnel. All staff will report to the Office Manager who will in turn report to the President. The office manager will also aid the President in the company’s strategic and financial goals.


RESPONSIBILITIES


Operational


  • Maintain and recommend operational policies and procedures for all areas of the business.

  • Day to day management of the business and personnel.

  • Interface with all team members to ensure the business is running efficiently and effectively – maintaining harmony in the business.

  • Oversee the production and delivery of all jobs, including tracking all projects in varying stages.

  • Digital asset management

  • Set goals, evaluate performance, coach and mentor staff.

  • Recruit, hire and onboard new staff

  • Liaise with Payroll company and approve time-off policies

  • Ensure customer’s needs are met through the seamless integration of the creative, production and operational sides of the business and the delivery of excellent customer service.

  • Schedule and run operational and planning meetings with the staff.

  • Keep abreast of new technology and software.

  • Maintain a commitment to the company’s brand strategy, sales processes, values and business code of ethics - Integrity above all else.

  • Keep current on relevant trends in wedding and event photography and keep technology skills up to date.

  • Point of contact with tech support team regarding computer maintenance, server upkeep and employee accounts.


Strategic


  • Aid the president with strategic planning and direction for all areas of the business.

  • Be instrumental with business development / expansion initiatives.


Financial


  • Aid the president with the allocation of financial and human resources for the business’ activities.

  • Legal and risk management.

  • Overall revenue and opportunity growth for the business.

Qualifications

Job Specific Requirements


  • Must be available to work weekends and evenings as required.

  • Willingness to be flexible with daily hours.

  • Willingness to attend industry related events for networking and education.


Qualifications


  • Master’s Degree in Business or related work experience plus 5 years experience business management and operations.

  • Good Strategic thinker and problem solver.

  • Strong negotiation skills.

  • Strong leadership skills; a confident and collegial leader able to work seamlessly and collaboratively with President and the other leaders of the business in driving its success.

  • Strong organizing and follow through skills.

  • Excellent oral and written communications skills.

  • Strong financial skills.

  • Strong team player that values the importance of the success of the overall group.



Technical Skills

  • Proficient in use of Google Suite, Mailchimp, Asana, Quickbooks, MS Word etc.

  • Working knowledge of Adobe Creative Suite a big plus, but not necessary
