Job Description
As an executive assistant, you will be responsible for providing administrative and clerical support to the Senior Vice President, Human Resources and other members of senior management on an occasional basis by collaborating with them in preparing and updating various documents, keeping records, reports and statistics as well as in managing meetings and agendas.
More specifically, you will:
- Prepare, revise, correct and format various documents such as policies, procedures, programs, presentations, employment contracts, memos and various other documents related to human resources management
- Prepare and update various reports and statistics related to human resources management
- Make transportation and accommodation reservations for prospective candidates, new hires and all Davie employees who are required to travel
- Prepare expense reports
- Process and follow up on payments for invoices from the Human Resources department
- Support the Senior Vice President, Human Resources in managing his agenda, as well as booking meeting rooms for the HR department
- Welcome visitors (distribution of PPE, preparation of conference rooms)
- Act as liaison with IT in case of problems in conference rooms
- Register visitors and arrange security briefings
- Provide administrative support for the following:
- Senior Vice President, Programs
- Senior Vice President, Operations Support
- Vice President, Future Programs
- Vice President, Public Affairs
- Vice President, Government Affairs
- Provide general administrative support as required
Qualifications
- Diploma of Vocational Studies in Secretarial Studies or the equivalent
- More than 2 years of professional experience
- Excellent French and English writing skills
- Superior knowledge of Word, PowerPoint, Excel and Outlook
- Very high level of discretion
