Job Description

The Payments Modernization Program requires a senior administrative resource starting in late 2018 who is experienced in supporting complex, multi-year, multi-team, transformation programs.  This individual will support program managers, make sure meetings and events run smoothly, artifacts and records are captured, well-organized, and up-to-date, and program information is shared with the right people in a timely manner.

Responsibilities

·       Meeting management:

·       Scheduling internal and external meetings

·       Managing the program calendar

·       Preparing and distributing agendas and supporting documents

·       Capturing minutes, decisions, and action items

·       Arranging catering when necessary

·       Managing the Payments Canada committee dashboard

·       Document management:

·       Managing the document library

·       Preparing documents and forms

·       Preparing periodic reports

·       Program Communications and Knowledge Management:

·       Modifying Confluence pages and Trello boards

·       Manage on-line collaboration tools

·       Maintain distribution and contact lists

·       Preparing, proofing and/or distributing select program communications

·       Supporting the program managers as-needed

·       Event coordination

·       Time-sensitive tasks

·       Information-gathering; research

·       Coordinating with other Central 1 groups and teams

·       Booking travel

Qualifications

Required:

o   A minimum of 5 years of experience providing administrative support on large, complex transformation programs

o   Post-secondary degree, diploma or certificate in a related field

o   An advanced Confluence user or 2 years of experience with a similar application (like SharePoint)

o   Proficiency in the Microsoft Office suite

o   Superior oral and written communication, time management, and organizational skills

o   Initiative to recognize unmet needs or gaps and to step in where necessary

o   Professional, punctual, highly reliable, proactive, self-motivated and comfortable with time-sensitive tasks

Preferred:

o   Project or program management knowledge

o   Bachelors’ degree

o   Experience in a software development environment

o   Experience with other on-line collaboration tools such as Skype, Trello and Slack
