Job Description

The Payment Services Assistant provides confidential, administrative support services to the Payment Services Department and secretarial support services to the Administrative Assistant, Payment Services.

As the successful candidate, you have a grade 12 education plus a minimum of three years of formal secretarial or office skills training and three years of related experience. You have a solid knowledge of word processing and proficiency in MS Word and Excel. You have the ability to handle a wide variety of situations with diplomacy and confidentiality. You are organized and able to multi-task and work in an environment with constant interruptions without sacrificing the quality of work. You are a team player with a positive attitude, an eye for detail, good proof reading skills and an enthusiasm for learning new skills.

Qualifications

SPECIFIC ACCOUNTABILITIES:

• Perform a variety of administrative support for department, including receptionist duties, word processing, photocopying, faxing, filing, distributing department mail, arranging meeting rooms and catering, travel arrangements, key organization, procedure documentation and document retention.
• Coordinate and distribute department news items, including receiving initial draft from news item writer, coordinating subsequent word processing edits from department staff, ensuring final approval and signoff, distributing, filing and maintaining a current electronic copy of news item on network drive.
• Process invoices for payment, ensuring the coding/formulas are correct; co-ordinate quarterly payments on a timely basis. Update and maintain the invoices that are currently filed.
• Provide administrative support and assistance as required by those identified as being under the leadership of the AVP and Director of the department.
• Assist with timesheet approvals.
• Order and maintain supplies for the department.
• Maintain and distribute lists required by the department, including lists for advisory groups, staff telephone numbers, credit union data.
• Maintain a job description procedural manual, ensuring it is updated as necessary
• Act as back-up for the Administrative Assistant, Payment Services, including taking meeting minutes, as required and providing vacation coverage.
