Job Description

SUMMARY

The Business Specialist position supports the Directors of the Center for Applied Linguistics (CAL) PreK-12 Professional Development in the areas of business development, institute and online learning coordination, scheduling project tasks, tracking project deadlines and supporting the Professional Development (PD) Directors as needed. This position supports and assists the Directors of Professional Development in ensuring workflow within and across the PD team as well as outside stakeholders such as consultants, vendors, school district representatives and frequent interaction with other project staff and business units at CAL.

In addition, this position supports and assists the Directors of Professional Development in the research and development of new and updated products and services, adhering to a strategic plan, responding to new business and other development requests, and other support as needed and assigned.

ESSENTIAL DUTIES

Financial Management and Tracking

  • Assists the Directors of Professional Development in creating and tracking budgets for Institutes.
  • Assists the Professional Development Team with specific business activities and projects in the areas of strategic planning and coordination.
  • Supports the Directors of Professional Development in the creation of business plans for new services and products.
  • Coordinates and prepares any other necessary business support as assigned by the Directors of Professional Development.
  • Will work directly with Finance to communicate when project deliverables are complete for proper invoicing. Also, to confirm when deliverables are complete and all expenses have been reported for project closeout.
  • Develops written reports on budget, scheduling, and quality control procedures, as required.
  • Monitors and tracks external projects and internal accounts against the budget and according to the financial goals determined by the Directors of Professional Development including invoices, general expenses, travel expenses, and consultant agreements.
  • Assists the Directors of Professional Development in the budgeting requirements and the preparation of budgets of new projects and grant proposals.
  • Creates and develops templates, and other standardized financial formats to support the Directors of Professional Development as needed.

Logistical Support

  • Supports the Directors of Professional Development in implementing the logistics of CAL Institutes and online learning.
  • Communicates and collaborates with other staff within CAL, including Finance and Operations, Contracts and Grants, Online Learning, CAL Store, and Communications units in order to coordinate business activities and strategies that facilitate the mission of the CAL Professional Development.

Administrative

  • Prepares and formats RFP responses to assist PD Directors. Will work with Contracts in completing and providing documents according to the guidance (Work Plan) provided by Contracts.
  • Identifies resources needed for the completion of project tasks.
  • Assists in the development of tasks and timelines for project activities.
  • Manages consultant pool by working with Finance to establish umbrella agreements and requesting purchase orders (POs) for consultant project work, ensuring requests are submitted in a timely manner with proper amounts and scope of work; monitoring amounts spent for potential modification and alerting Finance when to close PO.
  • Assists in the development and implementation of staffing plans to meet demands of the PD area work through the use of staff, consultants, and vendors.
  • Provides other administrative support as needed.

Qualifications

EDUCATION AND EXPERIENCE

Required 

  • Minimum Bachelor’s degree in a related discipline and 3-5+ years of relevant experience.

Preferred 

  • Master’s degree in a related field and a minimum of 5 years of experience in these areas preferred.
  • Experience with financial and budgeting software preferred (such as Solomon, QuickBooks, Excel). 
  • Previous experience teaching and/or working with language learners in the United States also desirable.

  • Interest and experience with multilingualism and K-12 education
  • Fluency in multiple languages preferred.

  • Familiarity with school district protocol and procedures
  • Ability to interact, collaborate, and work with different program and business units at various levels
  • Ability to work remotely while maintaining high levels of communication and productivity during business hours

PHYSICAL DEMANDS

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to effectively communicate. The employee may be required to sit or stand in a stationary position for 50% of the time. This position constantly operates a computer and other office productivity equipment. CAL adheres to ADA compliance and guidelines as a common practice.

COMPENSATION

Minimum Salary: $69,064 Annually
