Job Description

We're looking for a detail-oriented individual to join our HR team as an HR Systems Administrator. This is a fixed term contract for 6 months from January 2019 and is the perfect opportunity to gain valuable experience using a leading HR system (MHR iTrent, known internally as "HouRS")

In this role you will be responsible the day-to-day system administration of the system, ensuring data held in the HR System is accurate and up to date, whilst providing support to the rest of the HR team on HR projects.

As a HR Systems Administrator, your main duties will include:

  • Data cleansing, ensuring information in the system is up to date including but not limited to:
    • fixed term contract details
    • part-time employee records
    • all contract details including grades
    • sessional worker records
    • term time only employee records
    • personal information
  • Maintaining data accuracy and data quality within the system.
  • Checking current data in the system and recording new accurate data.
  • Assisting with systems-related enquiries, including login queries
  • Providing support on the effective management of the HouRS system by ensuring all organisational level system changes to processes are clearly documented.
  • Assisting with user account/role set up, maintenance and control: 
  • Ensuring all users have appropriate access to fulfil their role and functions within the system.
  • Ensuring all new starters and leavers are given access / access withdrawn in accordance with SLA timescales.
  • Security maintenance – ensuring any changes or creation of new security profiles work (ie are tested following any build or maintenance)
  • Supporting with the performance of system upgrades, patches and fixes.
  • Supporting with any data conversions required.
  • Supporting with the timely implementation of annual general pay uplifts across various groups of employees. 
  • Planing and carrying out audits on the HouRS user base to ensure system integrity and security
  • Participating in special projects and performing additional duties as needed.
     

Qualifications

Essential critera:

  • Must be PC-literate and self-sufficient in the Microsoft 'Office' suite of products, in particular Microsoft Excel
  • Experience of working with and maintaining HR and Payroll systems (iTrent) 
  • Administration / data entry experience
  • Knowledge of HR databases and business intelligence reporting tools at the highest level, and how they can be used to provide people data
  • Knowledge of HR and/or Payroll
  • A keen eye for detail
  • Pro-active, customer-focused and solutions-oriented
  • Able to work effectively under pressure
  • Able to maintain confidentiality
  • Ability to work in a systematic manner, organising own activities to meet deadlines and maintaining accurate records 
  • Ability to review and document processes and procedures in order to find a technical solution
  • Excellent communication skills
  • Willingness to work flexibly as required
Desirable criteria:
  • Experience of supporting and configuring the following specific Business Systems: 
    • MHR iTrent – incorporating HR, Absence, Payroll, Manager & Employee self-service, Security and Learning & Development modules. 
    • Business Objects, including designing, developing and maintaining reports 
  • Experience of developing and implementing iTrent modules to meet operational requirements 
  • Knowledge of SQL

Additional Information

 

  • This role is full time 37 hours per week, but we can be flexible with working hours for the right candidate.
  • Fixed term contract for 6 months from January 2019
  • Salary £18,355 per annum (pro rata if part time)  (Zone 2 Grade B)
