Key Responsibilities
Office & Facilities Management
Manage office and store facilities including cleanliness, security, utilities, maintenance, and basic repairs.
Coordinate with vendors for facility-related services for head office and offline stores across Jabodetabek.
Support store openings, relocations, or minor renovations from a GA and facilities perspective.
Ensure compliance with workplace safety, internal policies, and basic HSE standards at stores and office locations.
Purchasing & Procurement Support (Offline Stores)
Support end-to-end purchasing activities for offline stores across Jabodetabek, including store fixtures, furniture, equipment, consumables, and operational supplies.
Coordinate procurement requests from store teams and ensure alignment with approved budgets and specifications.
Source vendors, request and compare quotations, and support vendor selection for store-related needs.
Prepare and process purchase requests (PR), purchase orders (PO), and payment documentation in accordance with company procedures.
Track delivery timelines and ensure on-time fulfillment to multiple store locations.
Liaise with vendors and logistics partners to resolve delivery or quality issues.
Asset & Inventory Management
Maintain and update asset registers for office and offline store assets (fixtures, equipment, tools).
Manage distribution, tracking, and handover of assets to stores.
Conduct periodic physical stock checks and asset reconciliations across Jabodetabek locations.
Vendor & Contract CoordinationManage vendor relationships related to store operations (suppliers, contractors, service providers).
Support contract administration, renewals, and service level monitoring for store-related vendors.
Maintain proper documentation for vendor agreements and purchasing records.
Administrative & Operational Support
Support employee onboarding and offboarding from a GA perspective, including store staff equipment and access.
Coordinate internal events, store-related activities, and operational logistics as required.
Provide ad-hoc operational support to ensure smooth day-to-day store operations.
Documentation & Reporting
Maintain purchasing, procurement, and GA documentation (PR/PO, invoices, contracts, asset records).
Prepare routine reports on purchasing status, vendor performance, GA expenses, and store support activities.
Support audits or internal reviews related to procurement, assets, and facilities.
Kualifikasi
Qualifications & Requirements
Education
Minimum Diploma (D3) or Bachelor’s degree in Administration, Management, Supply Chain, or related fields.
Experience
1–3 years of experience in General Affairs, Administration, or procurement support, preferably in a retail or multi-branch environment.
Skills & Competencies
Familiar with purchasing and procurement processes
Strong coordination skills with vendors and internal stakeholders.
Able to manage multiple requests from different store locations simultaneously.
Proficient in Microsoft Office / Microsoft Excel / Google Workspace.
Organized, detail-oriented, and able to work under timelines.
Personal Attributes
Hands-on and solution-oriented.
Willing to travel occasionally to offline stores across Jabodetabek.
Own personal transportation
Able to work independently and collaboratively.

About the Position
The General Affairs (GA) Officer is responsible for managing day-to-day office and facility operations, as well as supporting purchasing and procurement activities for multiple offline retail stores across the Jabodetabek area, ensuring timely availability of goods, services, and facilities to support smooth store operations.
Working Conditions
Full-time, office-based role with occasional site visits to offline stores across Jabodetabek.
May require flexibility during store openings or urgent procurement needs.
