Job Description
We are seeking a highly proactive, detail-oriented, and adaptable Executive Assistant to provide high-level administrative and strategic support to the Executive Director. This role requires excellent judgment, strong organizational skills, and the ability to handle sensitive information with discretion. The ideal candidate thrives in a dynamic environment, anticipates needs, and serves as a thought partner to ensure priorities and operations run seamlessly.
Key Responsibilities
- Administrative Support
- Manage complex calendars, schedule meetings, and coordinate internal/external appointments.
- Prepare and edit correspondence, reports, presentations, and other documents.
- Coordinate travel arrangements and itineraries.
- Track and follow up on action items, deadlines, and key initiatives.
Operational & Strategic Support
- Serve as a liaison between the Executive Director and internal/external stakeholders.
- Assist in preparing for leadership meetings, presentations, and events
- Conduct research, gather data, and draft summaries or proposals as needed.
- Support special projects, ensuring alignment with organizational priorities and timelines.
Communication & Culture
- Draft professional communications, manage inbox priorities, and maintain confidentiality.
- Help organize team engagement initiatives and support culture-building efforts.
- Represent with professionalism and alignment to brand values.
Process & Project Management
- Implement and improve systems for tracking tasks, commitments, and goals.
- Monitor and follow up on team deliverables related to executive or organizational goals.
- Provide support on cross-functional projects as needed.
Qualifications
Qualifications
- Exceptional communication skills—both written and verbal
- High level of discretion, integrity, and professionalism
- Proficiency in Google Workspace, Microsoft Office Suite, and task/project management tools (e.g., Asana, Notion, or similar)
- Strong organizational, problem-solving, and time-management skills
- Ability to operate independently, anticipate needs, and execute effectively under pressure
