Job Description

Job Summary

To provide administrative support for the efficient and effective implementation of project activities

Key duties and Responsibilities

· Orders, issues and maintains an adequate inventory of project supplies such as stationery and office equipment.

·Raises Internal Purchase Requisitions (IPR) and follows up on requests with the Procurement department and advises on the quality of items procured for the project.

·Provides a written Monthly Activity update on stock levels, procurement status and   project challenges.

.Raises Purchase Requisitions for groceries for trainings, meetings and workshops.

·Organises and prepares workshop documents such as agendas and handouts.

·Requests, receives, makes payments and liquidates cash advances for the project.

·Follows-up on status of procurement and escalates challenges to the Emergency Coordinator.

· Tracks Emergency Coordinator ’s key meetings and appointments.

· Organises project meetings, venues, travel and accommodation for staff and stakeholders.

·Maintains and updates project asset register, inventory and a proper filing system for soft and hard copies of project documents including back-ups, such as project reports.

· Writes, circulates minutes for project meetings or workshops and receives, distributes and files project mail both hard and soft mail.

·Consolidates Personnel Activity Reports (PARs) for the project and submits to the Emergency Coordinator. 

·Maintains and updates a leave tracker in liaison with the Emergency Coordinator.

·Promotes and maintains an organizational culture that advances gender equality, reduces power abuse and inequalities, and fosters trust and safety.  

·Creates an environment within CARE's workplaces, programming, and communities where CARE works that is free from sexual harassment, sexual abuse and sexual exploitation and child abuse.  

Qualifications

Qualifications, Skills and Experience

  • A Diploma in Secretarial studies/Administration or equivalent

·        1-2 years working experience in secretarial or other related field

  • NGO experience will be an added advantage.
