Takunda, which means “we have overcome” in Shona, is a 5-year USAID Bureau of Humanitarian Assistance program led by CARE in a consortium. Job Description

Job Summary
To maintain an up-to date accounting record of food, non-food items and Cash Transfers

Key Duties and Responsibilities:
•    Receives waybills, Material Delivery Sheets (MDS) from the Warehouse keeper/Supervisor and updates the Commodity Tracking System
•    Verifies all losses, damages, transfers and warehouse returns, ensuring accurate data capturing and production of relevant documentation
•    Updates the Loss and Damage register and ensure all Loss damage reports are supported and filed
•    Reconciles physical stocks of commodities for destruction against relevant reports prior to their disposal
•    Reconciles the warehouse stock balances against what is in the CTS database (quantity per commodity type)
•    Checks with the Warehouse keeper/Supervisor to ensure transactions in all warehouses are captured in line with the requirements of the CTS system
•    Liaises with the Warehouse keeper and Commodity Manager to ensure correct CARE, donor and government procedures are followed in the destruction/disposal of commodities
•    Coordinates monthly physical counts of food and non-food stocks, ensuring compliance with physical count guidelines
•    Maintains an updated inventory of all warehouse transaction books; carry out periodic reconciliations verifying they are all accounted for
•    Prepares adjustment entries to clear redundant values on inventory stocklist
•    Ensures adherence to project cash transfer delivery mechanism, guidelines/standard operating procedures and raise any challenges with the Commodity and Cash Transfer ManagerAccounting for commodities received through Agro dealers and e- Voucher systems
•    Reviews Cash transfer reconciliations of planned beneficiaries against actuals.
•    Review transporter &loader invoicing &reconciliations
•    Reviews completed invoices and reconciliations for the loaders, verifying their accuracy and completeness
•    Prepares payment request for  invoices after reconciliation for the transporter and the donor
•    Provides conceptual input for NFI Accounting system upgrade of modules/designs and other software and submits to CARE IT & CARE USA CTS Support Team
•    Captures data into two databases (CTS and AID Matrix) for Food and Non Food items
•    Engages CARE USA and World Vision on technical support on system challenges
•    Provides CTS training to commodity staff as necessary
•    Produces CTS Reports namely, Commodity Status Report (CSR), Recipient Status Reports and Loss Reports 
 

Qualifications

•    Degree in Accounting, business management/ administration or equivalent
•    4-6 years working experience in Accounting 3 years of which should be in CTS or commodity accounting or other related field
•    Understanding of warehousing and distribution processes
•    Proficiency in Microsoft office packages especially excel, word and access
