Job Description
The main objective for this position is to work the front desk, to maintain the bidding process for our project estimators and support the project managers with administrative assistance on pending and awarded projects.
This position requires the person to be capable of the following:
- Manage the Bidding Process and Projects:
- Access and print blue prints from bid sites and emails
- Maintain changes to plans and addendums
- Manage the bid schedule and coordinate with estimators to make sure bids are finished by bid deadlines
- Work with estimators for inputting data into quote program for bids and cut tickets for invoices.
- Write up final bid proposals and email out to customers
- Manage and maintain finished bid files prior to awarded jobs
Front Desk Responsibilities:
- Assist walk-in customers and manage customers picking up materials.
- Answer incoming calls and connect them to other employees; Must have knowledge of multi lined phone system
- Manage all incoming mail; Including opening and sorting to correct employees.
Operations Assistant Responsibilities:
- Type and email office memos
- Make and manage reports for Executives
- Assist other office personnel with new project setups as projects are awarded
Qualifications
This position requires the person to have 1 year of receptionist or administrative experience.
