Job Description

The Executive Assistant (18 months contract) is responsible for providing day-to-day administrative support to the the Senior Managing Director & Global Head of Private Equity (“SMD”).

Some of the main duties include managing calendars, meetings, expenses, booking events, developing offsites, travel and correspondence.

Role-specific Accountabilities:

  • Provide administrative assistance to the SMD and wider department.
  • Proactively manages busy calendars, including scheduling internal and external meetings and calls.
  • Book and manage complex travel arrangements, itineraries and other duties related to global travel.
  • Work closely with other executive assistants and teams to increase efficiencies and provide overall departmental support.
  • Supports the SMD by ensuring preparedness for all meetings; anticipates needs, prioritize tasks and apply experience in making decisions.
  • Prepare agendas, attend team meetings, organize investment committee processes.
  • Responsible for seamless end to end coordination of department-wide special projects/events e.g. off sites, coordination of department budget, etc.
  • Performs expense reporting.
  • Coordinates approval and processing of invoices.
  • Handle highly sensitive and confidential matters relating to the daily activity of the department and/or organization.
  • Be a CPP Investments ambassador by playing a key role in representing the investment business internally and externally. Conduct work in professional, friendly, easily accessible, and approachable manner.

Qualifications

  • Minimum 10 years administrative support experience; minimum 5 years at a senior executive level (with Board and external responsibilities), in a fast-paced and high visibility organization.
  • Experience with complex calendar management, booking high profile meetings, events and managing complex expense reimbursement process.
  • Book and manage complex global travel arrangements, itineraries or other duties related to support professionals who travel globally.
  • Technologically savvy and highly proficient with Microsoft Office (Word, Excel, PowerPoint) and other applications, as required.
  • Well organized and an efficient administrator who works well under pressure and is able to multi-task confidently and pro-actively.
  • Pro-active, self-starter who takes the initiative, ownership of projects and meets deadlines.
  • Demonstrated ability to maintain confidentiality.
  • Experience with expense software is an asset.
  • Able and willing to work flexible hours, as required.
  • Exceptional (written and verbal) communication and interpersonal skills.
  • Interest in the investment industry is considered an asset.
